Phelps Dunbar LLP is an AmLaw 200 full-service law firm. Phelps Dunbar LLP is offering an opportunity for a Legal Assistant supporting multiple attorneys within the Labor and Employment practice group in Baton Rouge through the performance of complex secretarial, administrative and substantive legal duties.
Essential Duties and Responsibilities:
  • Litigation and Case Support
    • Prepare, format, and proofread pleadings, motions, discovery, and correspondence for federal and state court matters
    • Coordinate and execute electronic filings in federal and state courts and administrative agencies, including troubleshooting filing issues as needed
    • Maintain and independently track case calendars, including calculating and monitoring deadlines based on applicable rules and calendaring deadlines for relevant attorneys
    • Assist with preparation of exhibits, appendices, and large or complex filings
  • Workflow and Matter Management
    • Manage and prioritize workflows across multiple attorneys and matters in a high-volume practice using professional judgment
    • Open and close files and assist with conflicts checks via Intapp
    • Track deadlines, deliverables, and key case developments to ensure timely completion of work
    • Proactively follow up with attorneys and team members regarding outstanding tasks and deadlines
    • Identify competing priorities and escalate issues where appropriate
  • Document and File Management
    • Organize and maintain electronic workspaces (iManage) and paper files in accordance with firm protocols
    • Ensure consistent document naming, version control, and proper filing within document management systems
    • Regularly audit workspaces for completeness, accessibility, and organization
  • Billing and Administrative Support
    • Assist attorneys with time entry and billing submission
    • Review time entries for completeness and flag missing time or discrepancies
    • Request and process expense reimbursements and client-related costs as needed
  • Client and Professional Communication
    • Communicate professionally with clients, opposing counsel, courts, and vendors
    • Draft routine correspondence and emails with minimal supervision
    • Handle sensitive and confidential information with discretion and sound judgment

Requirements
Education and Experience Required:
  • A high school diploma or equivalency required; some college preferred
  • 5+ years of litigation support experience in a large law firm environment preferred

Qualifications and Skills Required:
  • Proficiency in Word, Kofax PDF, Excel, PowerPoint, and Outlook
  • Experience with document management systems and digital platforms including iManage/FileSite, ShareFile, and DocuSign.
  • Experience supporting multiple attorneys in a high-volume practice strongly preferred
  • Strong working knowledge of legal terminology, court procedures, and litigation workflows
  • Excellent written and verbal communication skills
  • Experience with electronic filing systems such as PACER and state equivalents
  • Strong organizational and prioritization skills in a multi-attorney, deadline-driven environment
  • Consistent attention to detail, particularly in filings and client-facing materials
  • Ability to quickly learn and effectively use firm systems and technology
  • Ability to resolve routine or procedural issues independently using available resources, such as court rules, policies, and firm tools
