ASRC Federal is seeking a Leave & Timesheet Administration Specialist to be a member of our Shared Services team.
The ideal candidate will ensure accurate and compliant administration of all leave-of-absence (LOA) activity, timesheet adjustments, bonus payment workflows, special payroll file processing, and leave audits across the company. This role reduces compliance risk, improves data accuracy, and supports Payroll, HRIS, Benefits, and Shared Services in delivering timely and error-free pay.
Core Responsibilities
Timesheet & Leave-of-Absence Administration
  • Maintain and update employee timesheet statuses for all LOA types (FMLA, STD, LTD, Military, Personal, Workers Comp, etc.)
  • Ensure correct mapping of Dayforce status and reason codes to CostPoint and T&E
  • Process leave of absence pay types (paid/unpaid leave, active/inactive accrual statuses) on employees' timecards while out
  • Coordinate with HRIS and Benefits on system updates that affect timesheet locking/unlocking for employees in LOA status.
  • Validate compliance with state-specific leave laws and new regulatory changes
  • Audit payment accuracy for all leave of absence employees
  • Adjust and correct leave accruals for employees on a leave of absence.

Bonus Processing
  • Manage bonus file intake and perform detailed validation for eligibility, accurate amounts, and correct tax treatment.
  • Prepare bonus upload templates and coordinate with Payroll to ensure timely processing and posting prior to Labor on Fridays.
  • Audit bonus entries before and after processing to verify payment accuracy.

Special File Processing
  • Handle specialized payroll-related files, including:
  • Retros and Arrears
  • Weekly LR and Benefits Files
  • Quick Entry Files
  • Benefit deduction files - Imported into Dayforce
  • Leave automation files - Holiday Accruals and Reversals
  • Data security-sensitive files routed between HRIS, Benefits, Payroll, FSIS
  • Escalate anomalies or structural file issues to FSIS or IT as needed.

Leave & Timesheet Audits
  • Identify variances between leave balances, accrual rules, and CP/Dayforce configurations.
  • Document findings and adjust to be reviewed and posted by Payroll Lead/Director.
  • Support Legal and HR Compliance in audits of regulated leave programs.

Cross-Functional Coordination
  • Partner closely with Payroll, HRIS, Benefits, FSIS, and HR Compliance to keep all LOA, bonus, and special processes aligned.
  • Participate in workflow design discussions for LOA automation and new state leave law implementations.

Experience and Education Requirements
  • High School diploma or equivalent with minimum of 8 years of relevant work experience; Bachelors degree is desired.
  • Strong understanding of payroll and HRIS systems (Dayforce and Deltek CostPoint & Time and Expense).
  • Detail-orientated and comfortable auditing complex data sets.
  • Knowledge of federal and multi-state leave laws.
  • Ability to manage sensitive data securely.
  • Excellent cross-functional communication.

Ideal Background
  • Experience in Payroll, HRIS, Benefits, or Leave Administration.
  • Prior exposure to LOA workflows and multi-state sick leave compliance.
  • Familiarity with bonus/variable pay processing.
  • Experience handling secure file transfers and structured payroll files.
