Leasing Specialist

Centralized Leasing | Boutique POD

Places Management  |  Colorado (Multi-Community, Portfolio-Based)

Reports To: Director of Leasing/Centralized Operations 

Position Type: Full-Time, Non-Exempt

Schedule: Tuesday–Saturday, 9:00 AM – 6:00 PM (occasional evenings as needed)

Compensation: Competitive hourly rate plus performance-based bonus potential

POSITION OVERVIEW

This is not a traditional on-site leasing role. The Centralized Leasing Specialist operates from a remote office hub and manages the full leasing pipeline across multiple communities simultaneously — without being tied to a single property or conducting routine tours.

Your work happens at a desk, on the phone, and in the inbox. You are the first voice a prospect hears, the consistent touchpoint that moves them from inquiry to signed lease, and the team member responsible for getting renewal leases out the door on time. You own the pipeline — every lead, every follow-up, every application, every close — across an assigned portfolio of communities. On-site tour coverage may occasionally be needed to support a community, but it is the exception, not the role.

KEY RESPONSIBILITIES

1. Lead Nurturing & Pipeline Management

  • Respond to all inbound leasing inquiries — phone, email, text, and chat — within 23 minutes or less, consistently and without exception

  • Manage every lead from first contact to lease execution within AppFolio, maintaining accurate and up-to-date records at every stage

  • Conduct high-quality, consultative outreach calls and follow-up sequences that build rapport and move prospects toward a decision

  • Guide prospective residents through the leasing process with clarity, enthusiasm, and a people-first approach

  • Monitor lead aging across all assigned communities and proactively re-engage stalled prospects before they go cold

2. Tour Coordination & Scheduling

  • Schedule tours for on-site team members across multiple communities, coordinating availability and unit readiness in advance

  • Prepare prospects with community information, directions, and expectations prior to their visit to maximize show-to-close rates

  • Conduct on-site tours on an as-needed basis when coverage is required — this is a fill-in function, not a primary responsibility

  • Follow up with every prospect within 24 hours of their tour with a personalized touchpoint

3. Applications & Lease Execution

  • Send applications promptly upon prospect readiness; track completion and follow up to reduce drop-off

  • Coordinate with site teams and the Director of Leasing to ensure timely application review, approval, and communication

  • Prepare and send leases accurately, ensuring all required documents are included and deadlines are met

  • Guide new residents through the lease signing process — answering questions, resolving concerns, and keeping the process moving

  • Ensure all leasing documentation meets Fair Housing standards and Places Management compliance requirements

4. Renewals

  • Monitor lease expiration timelines across all assigned communities and initiate renewal outreach on schedule

  • Prepare and send renewal lease packages with accuracy and appropriate lead time

  • Conduct renewal conversations with current residents — by phone, text, or email — to retain occupancy and address concerns before they escalate to a notice

  • Track renewal response rates and escalate at-risk renewals to the Director of Leasing or Community Manager

5. CRM & Data Integrity

  • Maintain clean, complete, and current records for every lead, applicant, and renewal in AppFolio at all times

  • Track and report lead source, follow-up activity, conversion rates, and pipeline status on a regular cadence

  • Flag data gaps, system issues, or reporting inconsistencies to the Director of Leasing promptly

6. Cross-Community Collaboration

  • Serve as the centralized leasing voice for multiple communities, adapting communication to reflect each property’s unique brand and audience

  • Coordinate with on-site teams, the Boutique POD, and the Director of Leasing to align on availability, promotions, and leasing priorities

  • Support leasing campaigns, specials, and traffic-driving initiatives as directed by the Director of Leasing

SUCCESS METRICS

  • Response Time: Lead follow-up within 23 minutes or less, consistently

  • Conversion Rate: Lead-to-lease conversion rate of 25%+

  • Occupancy: Portfolio communities at or above occupancy goals

  • Renewal Rate: On-time renewal outreach and competitive retention rate across assigned communities

  • Data Integrity: 100% CRM accuracy and leasing documentation compliance

QUALIFICATIONS

  • 1+ years of multifamily leasing, inside sales, or high-volume customer communication experience preferred

  • Exceptional verbal and written communication skills — you spend most of your day on the phone, in email, and in text; this must be a strength

  • Highly organized with strong follow-up discipline and the ability to manage multiple pipelines simultaneously

  • Proficient in AppFolio or comparable property management/CRM software; Microsoft Office Suite

  • Comfortable working independently in a remote hub environment with minimal on-site supervision

  • Knowledge of Fair Housing laws and leasing compliance standards

  • Ability to work a flexible schedule, including Saturdays

  • Professional appearance and demeanor

  • Valid driver’s license, proof of insurance, and reliable transportation required

  • Must be eligible to work in the United States

COMPENSATION & BENEFITS

You will become eligible for company-sponsored benefits on the first day of the month following the completion of 30 days of employment. Details regarding available benefit plans, enrollment, and coverage options will be provided to you separately, and the following are included:
