Lease Administrator - Commercial Real Estate

Role Description

The Lease Administrator plays a critical role in supporting brokerage operations by managing lease documentation, transaction processing, financial tracking, and administrative controls. This position ensures that all lease and contract files are accurate, complete, and properly maintained while supporting brokers with timely reporting, proformas, and account reconciliation.

The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced commercial real estate environment.

Core Responsibilities

Lease & Transaction Processing

  • Process and maintain documentation for:
  • New leases
  • Lease Renewals
  • Lease Terminations
  • Lease Expansions & Amendments
  • Contracts and Closings
  • Review documents for accuracy, completeness, and compliance with company standards
  • Maintain organized electronic and physical transaction files
  • Ensure all executed documents are fully signed and properly archived
  • Prepare proformas for select Property Management Clients
  • Perform account reconciliations related to lease transactions and commissions
  • Coordinate with brokers, attorneys, landlords, tenants, and title companies as needed

Administrative Tracking & Controls

  • Maintain lease ticklers and critical date tracking systems
  • Generate and distribute Tickler Reports to brokers and management
  • Track key dates including renewals, expirations, notice periods, and closing milestones
  • Process files and maintain organized transaction records
  • Support internal reporting and operational compliance procedures
  • Assist with audit preparation and file reviews as required

Qualifications

  • 2+ years of experience in commercial real estate, lease administration, brokerage operations, or related field preferred
  • Strong understanding of commercial lease terminology and transaction flow
  • High level of accuracy and attention to detail
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with brokerage or property management software preferred
  • Strong organizational and time management skills
  • Ability to manage multiple deadlines and priorities
  • Professional communication skills, both written and verbal
