Senior Learning Operations Coordinator 

Job Title:                 Senior Learning Operations Coordinator 

Department:           Learning Operations

Reports To:             Director, Instructor-Led Experience 

FLSA Status:           Full-Time 

Summary 

The Senior Learning Operations Coordinator is responsible for acting as the team expert in day-to-day operations and administration of Learning Innovation programs, including but not limited to Alliance Safety Council’s signature programs, OSHA Training Institute programs, and ARSC programs. Responsibilities include but are not limited to planning, administration, registration, coordination, and communication of online and instructor-led learning experiences. 

Supervisory Responsibilities 

This position requires no supervisory responsibilities. 

Essential Functions 

Assists the Instructor Manager in innovation and process improvement within Learning Operations. 

Acts as the lead role in providing administrative and tactical support for the day-to-day operations and facilitation of Alliance Safety Council’s learning experiences and programs. 

Acts as subject matter expert and peer coach for student support and class management within the team. 

Assists in onboarding, technical training, and coaching of new hires within the team. 

Provides administrative and tactical support for the day-to-day operations and facilitation of Alliance Safety Council’s learning experiences and programs. 

Conducts all essential training logistic tasks, including maintaining and distributing materials, setting up the learning environment, preparing class documentation, facilitating communications with participants, arranging catering, collecting surveys, and issuing course completion certificates and digital badges. 

Acts as an LMS administrator for functions such as course scheduling, course setup, course maintenance, reporting, and other operational tasks that support learning products and programs. 

Produces digital training as needed to assist instructors with courses by providing technical instructions, monitoring participation, distributing follow-up directions, and supporting the use of a digital classroom. 

Understands and complies with program requirements and procedures set by governing bodies such as OSHA, ARSC, and ASC Signature Program guidelines. 

Compiles reporting data for OSHA Training Institute Education Center and administers the Outreach Training Program, including card requests, course prerequisite requirements, and monitoring activities. 

Acts as a point of contact for participants, instructors, partners, and vendors. 

Troubleshoots and resolves Tier 3 support cases. 

Lead in the effort to create standard operating procedures and process improvements. 

Conducts recertification efforts as needed for Alliance Safety Council programs. 

Serves as backup to the Instructor Manager and temporarily assumes their duties during absences. 

Manages special projects as assigned. 

Computer Skills 

Must have 1+ years of experience with learning administration technologies such as scheduling, registration, and learning management software. 

Must be competent in spreadsheet software such as Microsoft Excel 

Must be competent in all functions of the standard issued Alliance Safety Council computer software. 

Physical Demands  

While performing the duties of the Senior Learning Operations Coordinator, the employee must be able to withstand performing typical office work, which involves extended periods of sitting at a computer station and performing computer-related work, which generally involves repetitive motion tasks on a computer keyboard and viewing of multiple monitors for prolonged periods. The employee must also be able to stand for extended periods of time, be able to regularly walk, climb, balance, stoop and kneel, and occasionally lift and/or move up to 35 pounds.

Mental Demands  

While performing the duties of the Senior Learning Operations Coordinator, the employee must be able to function in a high-pressure environment and meet stringent deadlines for completing tasks; prioritize work; and meet deadlines in a stressful and fast-paced environment. The individual must demonstrate strong critical thinking skills. This employee will work regularly with remote teams, across and outside of the organization. 

Work Schedule 

The Senior Learning Operations Coordinator is expected to work Monday through Friday, with flexibility to work occasionally after hours and, on very rare occasions, on weekends, as dictated by program schedule. 

Qualifications  

Under the Instructor Director, the Senior Learning Operations Coordinator takes a leading role in the daily operations of Instructor-Led Experience. This position works to support student and class management processes while adhering to Alliance Safety Council’s Fundamentals. As a learning and support professional, the Senior Learning Operations Coordinator is responsible for providing guidance, information, and assistance to students as well as internal teams and our training partners. This role may also help coach existing Learning Operations Coordinators and act as a peer mentor when onboarding new Learning Operations Coordinators.  

This position is responsible for maintaining optimum enrollment of the courses for which they are responsible, along with coordinating course requirements, learning management system administration, reporting, and other administration tasks. 

The successful candidate will have 2+ years of experience working in a learning operations or support role, and a demonstrated ability to act as a peer leader, mentor, and coach within the team. 

The individual must also demonstrate competence in written and verbal communications, computer skills, multitasking, phone and email communication, and etiquette. The Senior Learning Operations Coordinator brings a strong sense of urgency and attention to detail to their role and thrives in a collaborative team environment executing standard processes and tasks. 

The individual must demonstrate competence in task management, prioritization, and problem resolution, along with superior customer service orientation and customer support skills. The individual must demonstrate competency in written and verbal communication skills. This position works both independently and in collaboration with teams across Alliance Safety Council, requiring a high degree of interpersonal skills such as listening and responding, curiosity, checking for understanding, and follow-through. The individual must demonstrate a strong aptitude for peer mentoring, coaching, and guidance.  

A bachelor’s degree or 5+ years of experience in administration, operations, or customer service, ideally within a learning environment, is required.  Experience with adult learners in the skilled workforce is preferred.
