Job description

Position Summary

The Training and Development Coordinator supports the Training Administrator by managing daily training operations, coordinating logistics, maintaining training records, and assisting with compliance activities. This role ensures smooth delivery of onboarding, continuing education, EMS Academy programs, and regulatory training requirements. The Coordinator enhances workforce readiness and strengthens the organization’s ability to meet clinical, operational, and accreditation standards.

Essential Duties & Responsibilities

Training Operations

  • Coordinate and assist with New Employee Orientation (NEOP), including preparing materials, scheduling presenters, and delivering assigned content.
  • Schedule and coordinate clinical continuing education courses such as CPR, ACLS, PALS, PHTLS, GEMS, AMLS, and other refresher programs.
  • Support EMS Academy operations by coordinating classroom setup, student communication, instructor needs, and documentation for inhouse or contracted academies.
  • Assist recruitment efforts through participation in EMS classes, career fairs, and community events.

Recordkeeping & Compliance

  • Maintain accurate training records, licensure tracking, CE documentation, and LMS data in accordance with regulatory standards.
  • Track certification expirations, CE requirements, and regulatory deadlines; escalate gaps to the Training Administrator and Operations.
  • Assist with documentation preparation for audits, inspections, and regulatory reviews.
  • Ensure adherence to HIPAA, data privacy, and recordretention requirements.

Clinical & Operational Support

  • Assist with patient care report audits and documentation improvement initiatives.
  • Support protocol revision processes, including organizing updates, distributing materials, and maintaining version control.

Communication & Coordination

  • Draft training announcements, reminders, schedules, and followup communications.
  • Assist in mapping annual training plans for management, HR, customer support, and field staff.
  • Track participation in outside training activities and maintain required documentation.

Administrative Support

  • Assist with budgeting tasks, supply inventory, scheduling, and reporting.
  • Provide general administrative support to ensure training programs run efficiently.

Qualifications

  • Va EMT with 3 years of experience minimum, Paramedic preferred
  • Va OEMS Education Coordinator preferred but not required
  • Experience in training coordination, EMS education, or administrative support preferred.
  • Strong organizational, communication, and timemanagement skills.
  • Ability to manage multiple tasks and deadlines in a fastpaced environment.
  • Familiarity with EMS certification, CE requirements, and regulatory standards preferred.
  • Proficiency with learning management systems and Microsoft Office Suite.
  • Ability to maintain confidentiality and comply with HIPAA and dataprivacy requirements.
