Department: Out of School Time
Job Status: Part Time (25 hours/week)
Reports To: Youth Program Success Coach
Position Supervises: Youth Development Professionals and Assistant Youth Development Professionals
Work Schedule: 1:00 PM - 6:00 PM
POSITION SUMMARY
The Floating Site Coordinator plays a critical role in ensuring consistency, safety, and quality across out-of-school time program sites by providing short-term coverage during Site Coordinator absences. This highly flexible role requires the ability to step into different school-based programs on short notice, quickly assess site needs, and ensure smooth day-to-day operations while maintaining compliance with all licensing and organizational standards.
The Floating Site Coordinator does not typically plan weekly lessons or own long-term site operations; however, they must be prepared to implement existing lesson plans and prepare and facilitate high-quality activities when needed. This role requires exceptional adaptability, strong organizational skills, and a positive, solutions-focused mindset.
A key responsibility of the Floating Site Coordinator is clear and comprehensive communication. They must effectively communicate with staff on site during coverage and provide thorough follow-up to the permanent Site Coordinator and Out-of-School Time Operations Manager regarding attendance, staffing, behavior concerns, parent communication, and any notable events that occurred during the absence.
The Floating Site Coordinator actively supervises students, supports staff, and models positive, engaged behavior. They are dedicated to creating a safe, welcoming, and engaging environment for students and staff, supporting students' academic, social, and emotional growth in alignment with the organization's mission and values.

ESSENTIAL FUNCTIONS
Programming & Student Support
  • Step into Site Coordinator coverage as needed, often with limited notice, and assume responsibility for day-to-day site operations
  • Implement existing site schedules and lesson plans, or facilitate pre-prepared lessons and activities when plans are unavailable
  • Maintain a safe, clean, and engaging environment while actively supervising students
  • Support students' behavior using organization policies, procedures, and any existing behavior plans
  • Assist students with personal hygiene needs as required, including toileting assistance, handwashing, diaper changes, etc.
  • Engage students through games, play, conversation, and structured activities that promote positive behavior and learning
  • Communicate with parents as needed during coverage, including sharing positives and addressing concerns
  • Ensure safe student dismissal and transportation, including filling in for van driving as needed and completing required van driver training

Communication & Continuity
  • Communicate clearly with on-site staff about expectations, schedules, and daily responsibilities
  • Provide timely, thorough handoff communication to the permanent Site Coordinator detailing:
    • Student attendance and enrollment changes
    • Staffing issues or absences
    • Behavior incidents or parent communication
    • Safety, maintenance, or supply needs
  • Communicate promptly with supervisor regarding staffing ratios, safety concerns, or incidents requiring escalation

Record-Keeping
  • Maintain site binders with necessary student information
  • Accurately record student attendance and communicate any changes in enrollment
  • Accurately maintain snack records and other required reporting

Supervisory
  • Review and approve Youth Development Professionals' timeclocks
  • Complete annual reviews for Youth Development Professionals
  • Report any staff absences to Out-of-School Time Operations Manager
  • Monitor staff levels to maintain appropriate staff to child ratios and immediately report any staffing issues to Out-of-School Time Operations Manager

General
  • Attend scheduled meetings and required trainings
  • Complete all trainings required by licensing and organization within identified timeframe
  • Report any safety, maintenance or equipment concerns as soon as possible
  • Maintain high level of confidentiality with sensitive information
  • Report any instances (or suspected instances) of child abuse and neglect to proper authorities

Responsible for other duties as assigned.
POSITIONS QUALIFICATIONS SKILLS & ABILITIES
Education: A high school diploma or GED is required. Preferred education includes one of the following:
Bachelor's Degree in education or human development
OR A valid Child Development Associate (CDA) credential, or a similar credential with emphasis in the care of school age children, and one year of verifiable experience caring for and supervising four or more school-aged children
OR Two years of college coursework in the field of education with emphasis in the areas of preparing and implementing lesson plans, human growth and development, behavior management, interpersonal communication, art education, music education, physical education, and recreation.
Experience: You need to have worked for one year taking care of at least four kids who are old enough to go to school. This work should have been done in a child care setting, like a daycare or after-school program, and the kids you looked after shouldn't be your own family members
Skills: Ability to establish and maintain working relationships with school administrators, personnel, students, parents and the public required. Excellent communication skills, both verbal and written required. Ability to make decisions quickly and independently and have appropriate discretion to know when guidance is needed required.
Licenses: Valid driver's license and reliable transportation.
PHYSICAL DEMANDS
A. Ability to Stand, Walk, sit, manually manipulate, reach outward and above shoulders, speak, climb, crawl, squat, kneel, and bend on a daily basis
B. Capability to Lift, carry, push or pull up to 50 lbs on a daily basis
