The Role We Want You For

The Executive Assistant will be responsible for performing administrative and office support activities for a Senior Executive. Duties may include but are not limited to marketing research, booking business travel, coordinating or monitoring calendars and business meetings, creating/editing documents, maintaining office organization, maintaining contact database, client research, project opportunity website tracking and reporting, assist in event planning, and data entry. Extensive software skills, Internet research abilities and strong communication skills are required.

The Specifics of the Role

  • Supporting Company Executive
  • Coordinate calendars and business meetings
  • Coordinate travel and transportation
  • Assist with marketing, public relations, website and proposal coordination
  • Planning company-wide events: Invitations, catering, hospitality and travel
  • Provide intermediary communication and support between all company departments and regional offices
  • Assist with Prequalification and maintaining Customer Relationship Management software and electronic filing systems
  • Manage calendars, expense reports, contacts, files
  • Conference room management, proof reading, meeting minutes
  • Handling personal matters as needed

Requirements

  • Minimum of 7 years of experience providing high-level executive administrative support in an Executive Assistant or equivalent role
  • Excellent computer skills, including proficiency in Word, Excel, PowerPoint, Outlook, and Adobe Design Suite (InDesign and Photoshop) preferred but not required
  • Willingness to learn new skills and keep up with latest technology
  • Excellent communication skills, both oral and written
  • Excellent listening skills with attention to detail
  • Excellent and efficient quality of work
