The Opportunity

  • Participate in and administer L&D programs and live events to ensure a positive learner experience. Responsibilities may include organizing program plans, preparing content and materials, scheduling sessions, hosting meetings, supporting speakers, troubleshooting issues, overseeing technical support, tracking attendance, and identifying ways to enhance program offerings.
  • Serve as a key program contact for established programs, responding to questions, supporting learner participation and engagement, and presenting or assisting with facilitation during education sessions. Example programs include Tuition Program education and reimbursement processing, Orientation offerings for Business Partners, and Leadership Development.
  • Track action items and conduct timely follow-up to support project timelines, maintain momentum, and ensure deadlines are met.
  • Serve as a super user for virtual live meeting tools such as Microsoft Teams and Mentimeter. Research, evaluate, and interpret platform capabilities as needed.
  • Support instructor-led delivery and logistics, including helping determine which learning solution, format, or offering best aligns with program goals.
  • Design, gather and analyze program metrics and feedback to evaluate effectiveness, measure impact, and inform ongoing program development and enhancement.
  • Brainstorm and research new ideas, tools, techniques and cost-effective solutions to strengthen L&D programs and address business needs.
  • Assist with special projects as needed.
  • Monitor the L&D team inbox by responding to inquiries and routing requests in a timely manner.
  • Process team expense reimbursement and compile monthly departmental expense reports through Concur.
  • Maintain L&D SharePoint sites by refreshing content and driving traffic towards the sites.
  • Partner with subject matter experts to create and maintain job aids, infographics, presentations, flyers, process documentation, and announcements.
  • Support streamlined communication of L&D offerings across populations.
  • Collaborate with cross-functional teams and workgroups to continuously improve processes and enhance the learner experience.
  • Help track training completion status and follow up with managers and users as needed.
  • Candidate will have to travel to the Emeryville office 1-2 times per month. 

Required Experience and Competencies

  • 2-3 years of program administration experience required.
  • Some college or equivalent experience required.
  • 3+ years of program administration in learning and development or related area preferred.
  • Bachelor's degree preferred.
  • Data entry with minimal errors.
  • Analyze data accurately and thoughtfully. Have keen problem-solving skills to suggest solutions.
  • Troubleshoot technical or live event issues effectively.
  • Intermediate MS Excel, Word, PowerPoint, and Outlook skills.
  • Ability to use office equipment and automated systems/applications/software at an acceptable level of proficiency.
  • Video conferencing experience preferred.
  • Eye for presenting visual material.
  • Create engaging presentations.
  • Ability to establish and complete general office procedures and records administration.
  • Excellent organizational and time management skills with the ability to handle multiple assignments and action items with varying priorities under conditions requiring speed and accuracy.
  • Ability to work independently with drive and initiative as well as work well within a team setting.
  • Ability to use resources effectively and balance the needs of colleagues.
  • Ability to orchestrate ongoing programs and transactions.
  • Strong attention to detail while simultaneously keeping the "bigger picture" in mind.
  • Ability to build rapport quickly and establish and maintain productive, trust-based, and effective relationships with a wide array of individuals across diverse client groups.
  • Ability to maintain flexibility, cooperation and participate in cross-organizational performance improvement activities.
  • Ability to actively listen, understand and respond to stakeholders in a productive manner; strong customer service skills.
  • Ability to express ideas and convey information effectively and professionally in verbal and written communications.
  • Ability to read, understand and communicate in English sufficiently to perform the duties of the position.

We are excited to share the base salary range for this position is $27.28 - $34.10, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company's annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
