Job description

The Intake Supervisor is responsible for the day-to-day operations of the intake department and provide support and oversight to staff working in the department. This process requires high levels of organization, dedication, and persistence. The position serves as an advocate for patients and aggressively fights on behalf of patients to receive access to needed therapies.

Key Responsibilities
  • Assign and monitor quality of work within the intake department to support efficient and effective output.
  • Manage day-to-day operations of the intake department, including but not limited to, ensuring ongoing coverage at all times, monitoring incoming volumes, capturing metrics and driving quality results.
  • Participate in and deliver training sessions, learning components and team building activities, in collaboration with the Intake Manager and Vice President of Revenue Operations.
  • Exhibits excellent customer service skills and serves as an advocate for the patient in obtaining and understanding all assistance programs.
  • Performs other related duties as assigned or requested in order to maintain a high level of service.
  • Maintain a close relationship with the billing team, ensuring rapid response to identified issues.
  • Demonstrates professional work behavior by following Service Standards and Success factors.
  • Complies with departmental organizational policies and procedures and adheres to external agency requirements.
  • The intake supervisors primary focus and responsibility includes front line support to all members of the team, including backup where needed.
  • Complete monthly audits of employee case log, providing feedback and correction where necessary.
  • Manage scheduling, including approving time off requests and ensuring adequate coverage.
  • Address employee relations issues and conduct performance evaluations in accordance with company policies and procedures.

R equired Knowledge and Skills

  • Demonstrated work history of being successful at handling prior authorizations, appeals and denials. This includes advanced hands-on knowledge of the intake process.
  • Demonstrates clear communication and effective collaboration to optimize patient care and clinic operations.
  • Ability to collaborate with others and offer outstanding customer service.
  • Demonstrates a high degree of computer literacy in a PC environment.
  • Strong organizational, interpersonal and communication skills.
  • Demonstrates strong ability to provide leadership.
  • Must possess ability to make autonomous decisions impacting organizational revenue with speed and accuracy.
  • Three years of experience with prior authorizations, federal, commercial, and national contract expertise required.
  • Three years of experience successfully completing national contract payer authorizations.
  • Minimum of 1 year of experience in a lead capacity directly related to intake leadership, with demonstrated ability to oversee and coordinate day-to-day operations effectively.
  • Ability to meet U.S. employment and eligibility requirements
  • Two years of proven experience with prior authorizations, specific to medical buy and bill medications. Federal, commercial, and national contract expertise required.
Education/Licensure/Technical Requirements.
  • High school Diploma or equivalent required
