The Executive Coordinator at The Starkey Law Group is a pivotal role designed to provide comprehensive executive support to Rory Starkey, the Managing Attorney, while ensuring the smooth functioning of office administration. As an integral part of the firm's strategic growth and operational restructuring, this role involves high-level executive support, office management, and coordination of financial and administrative tasks. The Executive Coordinator impacts the firm by freeing up the owner's executive time,  helping scale operations, and owning office administration, thereby driving the firm's mission and vision forward.

What you'll do:

  • Executive Support: Provide executive support to the Firm Owner across SLG operations and related professional and business activities, including those outside the firm, as directed, while operating within the firm's established reporting structure. Manage calendars, meetings, and travel while preparing agendas, briefing materials, and follow-up communications to keep the Managing Partner informed, prepared, and operating at full capacity.   
  • Reporting Structure: This role reports operationally to the Operations Manager and provides direct day-to-day executive support to the Managing Attorney.
  • Communication Management: Prioritize emails, calls, and correspondence.
  • Operational Support: Work alongside the Operations Manager to support and execute firm-wide operations within established systems.
  • Growth Opportunity: Opportunity to assume expanded responsibilities during planned leave periods to ensure continuity and seamless day-to-day function of the firm. 
  • Office Management: Own end-to-end office management by maintaining established systems while identifying improvements that align with firm priorities, come with clear, actionable solutions, and ensure peak organizational readiness across all areas.
  • Vendor Coordination: Manage vendor relationships while maintaining optimal supply and equipment levels to support uninterrupted business operations. 
  • Financial Admin Support: Support the Operations Manager with key financial functions, owning accounts receivable, and assisting with billing and financial reporting.
  • Limited Legal Admin Support: Manage firm-wide mail processing and correspondence while providing as-needed paralegal support and maintaining organized, accessible document management systems.

  • SOP Discipline: You thrive in a system-driven environment. We already have SOPs in place-your job is to follow them, execute consistently, and propose improvements only when you can present solutions (1-3-1 style).
  • On-Site Commitment: Must work in-office five days a week with no hybrid preference.
  • Non-Negotiable Filter: Candidates who want hybrid/remote work, mention "eventually hybrid," or have a fully virtual work history are not a fit for this role.
  • Direct Communication: Comfortable with straightforward feedback and high standards.
  • Professional Experience: Background in executive support or operations within a demanding environment.
  • Stable Employment History: Demonstrates long-term commitment and consistent execution without job hopping.
  • Role Expectation:  This position will require consistent execution of administrative, operational, and logistical responsibilities at a high level of precision over an extended period before evolving into a more specialized executive support role.
