Job Description Summary:

Detail-oriented administrative professional with experience supporting executive leadership in surgical services and clinical environments. Skilled managing departmental documentation, and ensuring compliance with regulatory standards. Experienced in supporting Kronos auditing processes to maintain accurate timekeeping and payroll integrity. Known for strong organizational abilities, accuracy in data handling, and effective communication with medical and administrative staff.Position Responsibilities
  • Provides direct administrative support to the VP, director of surgical services and nurse managers.
  • Creates log of issue reports to keep track of departmental activities and unit needs as requested to meet regulatory guidelines and project metrics.
  • Assists with creating presentations using data as required.
  • Updates administrative information and assists with staff files as needed to support the managers and directors .
  • Provides correspondence to medical and ancillary staff as needed using MSMC templates for memos and letters.
  • Coordinates logistics of meetings, conferences, seminars and travel for VP and directors.
  • Coordinates monthly PRC and other meetings for VP and directors as needed.
  • .Supports Kronos auditing.
  • Supports managers and directors in annual evaluation of employees. Provides proper documentation forms and communicates to team as needed to maintain timeliness of evaluations.
  • Initiates all check requests and purchase orders for Surgical Services as needed
  • Researches charges with accounts payable and vendors to insure accuracy.
  • Validates charges for Perfusion and blanket purchase orders for VP signature.
  • Orders office supplies for Surgical Services
  • Requests security access for employees.
  • Calculates and prepares all forms for promotions and demotions.
  • Ensures function of computer, printer, fax machine, by contacting appropriate personnel as needed.
  • Utilizes scheduling down time productively.
  • Responds to telephone calls promptly, and acknowledges caller immediately.
  • Uses proper telephone etiquette when receiving, transferring and placing calls on hold.
  • Performs spell checks on complex medical terminologies.

    • HS Graduate or equivalent- Bachelors in Psychology preferred
  • Experience
    • One year as receptionist with excel, Word, PowerPoint, and Outlook skills preferred. Excellent communication skills. Prefer bilingual.
