Job description

KOI Outpatient Imaging Services Coordinator

Position Summary
Responsible for coordinating all administrative and support functions related to outpatient imaging services, including scheduling, registration, order processing, and insurance verification for X-ray, Fluoroscopy, Mammography, Dexa, Ultrasound, CT, MRI, Nuclear Medicine, and PET. Ensures accurate documentation and communication across all imaging modalities while delivering exceptional customer service.

 

Responsibilities
•    Complies with all Kootenai Health confidentiality and HIPAA standards
•    Functions as the communication center for outpatient imaging, coordinating between patients, technologists, radiologists, and referring providers
•    Obtains orders, imaging history, and medical necessity documentation as required. Verifies and transcribes imaging orders into EHR systems
•    Understands and applies modality-specific imaging order protocols; edits and verifies orders ensuring compliance with modality-specific protocols and troubleshooting discrepancies
•    Provides patients with detailed exam instructions and imaging safety screening documentation, such as safety questionnaires and prep forms
•    Ensures patient demographics and insurance information is maintained in appropriate EHR systems
•    Communicates basic financial policies pertaining to insurance coverage, collects copays, and self-pay payments
•    Familiar with standard concepts, practices, and procedures within the field
•    Relies on experience and judgment to plan and accomplish goals
•    Regular and predictable attendance is an essential job function
•    Performs other related duties as assigned
•    Competent to meet age-specific needs of the unit assigned

 

Requirements and Minimum Qualifications
•    High school diploma or equivalent preferred
•    2 years’ experience as a Health Unit Coordinator, Administrative Assistant, Scheduler OR an equivalent combination of related education and experience required.
•    Working knowledge of medical terminology, confidentiality, HIPAA and electronic health record systems preferred
