Job description

Position Title: E. Stanley Jones School of Mission and Ministry Student Worker School/Department: E. Stanley Jones School of Mission and Ministry

Reports To: Administrative Assistant to the Dean of ESJ SMM

FLSA Classification: Non-exempt

Pay Rate: $11.00 per hour

Hours: Approximately 10/15 hours per week

Position Summary: Provide secretarial support to the Dean, the Administrative Assistant to the Dean, and the ESJ School faculty. The primary responsibilities are to assist the ESJ School faculty, Dean and Administrative Assistant with clerical duties such as filing/record keeping, processing telephone calls, e-mail messages, mail and correspondence, photo copying, assisting visitors and students to the ESJ Office, and assisting with ESJ special events.

Essential Functions:

1. Assist with filing, record keeping, and budget maintenance as needed

2. Generate school wide announcements and hospitality needs as they arise

3. Generate reports on excel or Microsoft word when requested by the dean or administrative assistant

4. Copy documents for the dean and faculty as needed

5. Coordinate book orders, desk and exam copies, and class packets with the bookstore for the Dean and faculty

6. Assist students and faculty as needed

7. Answer phone, deliver phone messages, check e-mail and voice mail

8. Assist the Administrative Assistant with all necessary setup for Wednesday morning Missiology Seminars

9. Assist with bulk mailings

10. Catalog donated books and oversee ESJ library

11. Host visitors/guests in the ESJ School

12. Assist in the coordination/hosting of special events (picnics, meetings, retreats, etc.)

13. Help maintain and order office supplies

14. Order and pick up (or have delivered) food/groceries for missiology seminar and class snack breaks

15. Keep the coffee area clean, brew coffee, and maintain/order coffee/entertainment supplies

16. Help with Kingdom Conference as needed

17. Assist with weekly Missiology Seminar.

18. Other duties as needed.

Education, Experience and Skills Required:

1. Experience in secretarial/office skills

2. Strong knowledge of Microsoft Excel and Microsoft Word preferred

3. Strong knowledge of Google Doc's preferred

4. Keyboarding skills and the ability to use office equipment such as computer, calculator, copy machine, and fax machine

5. Strong verbal, written, and interpersonal skills

6. Strong computer skills

7. Confidentiality, dependable, and detail oriented

8. Good people skills with cultural sensitivity

9. Ability to organize and prioritize work, and to meet deadlines

10. Ability to work with numerous interruptions and handle multiple tasks

11. Punctuality, flexibility, positive attitude, spirit of hospitality, and ability to exercise discretion on sensitive issues
