POSITION OVERVIEW

We’re seeking a proactive, friendly, and detailed oriented operations assistant, to help ensure the smooth daily functioning of our office. This person will be the first face guest, the hub of communication, and a vital support to our staff and operations team. The ideal candidate thrives in a fast-paced environment, takes initiative, and enjoys, creating an organized and welcoming space for others.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Office Management: Open and close the office daily, oversee general organization, and ensure a tidy workspace.

Guest & Communication Support: Greet guests with warmth and professionalism, manage phone calls, and promptly relay messages.

Mail & Deliveries: Handle incoming/outgoing mail and coordinate package shipments (USPS, FedEx, UPS).

Internal Coordination: Monitor and forward emails, faxes, and office-wide communications.

Office Logistics:

  • Maintain and update organizational distribution lists.
  • Manage parking permits, keycards, and visitor validation.
  • Oversee all office space reservations.
  • Maintain office supplies and weekly craft services.
  • Update office signage and create flyers (e.g., for holidays).
  • Assist with company event planning and coordination.
  • Working alongside Post Department to coordinate Equipment Pickups and Drop Offs.

Vendor & Facilities Management: Liaise with building staff and external vendors for maintenance, parking, and dock requests.

Administrative Support:

  • Submit monthly Concur reports on behalf of senior staff.
  • Assist with in-office events and meetings.
  • Supervise Production Assistants and delegate tasks as needed.


PROFESSIONAL QUALIFICATIONS

  • 2+ years in an administrative, office coordination, or operations support role
  • Exceptionally organized with strong attention to detail
  • Friendly, approachable, and professional demeanor
  • Ability to work independently, prioritize tasks, and problem-solve in a fast-paced environment
  • Experience in a production, creative, or high-energy office setting is a plus
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office, Google Suite, Canva and Zoom
