Job description

DISTRICT KEY CONTROL COORDINATOR 

Position Summary: 

The Key Control Coordinator is responsible for the management, maintenance, and oversight of the district's locking systems and key control records. This role serves as a critical liaison between the district, Capital Projects, and Bond Projects teams to ensure security infrastructure for new and existing facilities is accurately documented. In addition to performing skilled locksmith duties, this position coordinates with external vendors and maintains the master core database for the entire district.

Safety Sensitive Designation:

This position has been classified as Safety Sensitive in accordance with the Oklahoma Medical Marijuana and Patient Protection Act and Board Policy G-37-R3 Medical Marijuana & Safety Sensitive Positions Regulation. All candidates selected for hire or transfer into a Safety Sensitive position must successfully complete a pre-employment drug screening. Employees in Safety Sensitive positions may be subject to disciplinary action, up to and including termination, if they test positive for marijuana components or metabolites, regardless of medical marijuana license status.

Core Leadership Responsibilities:

Great Learning (Instructional Infrastructure)

  • Collaborate with Capital Projects and Bond Projects teams to provide detailed lock schematics and hardware specifications for new building constructions and renovations.
  • Ensure security infrastructure for all facilities is accurately documented to protect the instructional environment.

Great People (Talent Development)

  • Act as the primary point of contact for outside locksmith contractors, ensuring that outsourced work orders are addressed and completed in a timely, professional manner.
  • Coordinate with district personnel to update the status of work orders efficiently and effectively.

Great Systems (Support & Accountability)

  • Maintain a comprehensive and accurate database of all lock cores, master keys, and key hierarchies across the district.
  • Perform regular audits of key inventories and core placements to ensure system integrity and security compliance.
  • Perform installation and repair of locks, including fabrication of unique locking devices and re-keying to meet specialized security needs.
  • Utilize the computerized maintenance management system (CMMS) to track and complete projects efficiently.

  • Prepare required documentation for project completion in compliance with security regulations and district policies.
  • Maintain rigorous filing and digital tracking systems for every key issued to ensure transparency and accountability.
  • Respond to emergency lockout situations during or after hours to resolve immediate security concerns.

  • Timely completion of internal and vendor-managed locksmith work orders.
  • Documentation of quarterly audits confirming the integrity of key inventories and core placements.

Job Specifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Minimum Qualifications (Knowledge, Skills, and/or Abilities Required):

  • High school diploma or GED required.
  • Minimum three (3) years of locksmith experience, including work with master key systems and high-security hardware.
  • Demonstrated ability to manage multiple projects simultaneously with strong attention to detail.
  • Ability to read and interpret architectural drawings, hardware schedules, lock charts, and construction specifications.
  • Knowledge of locksmith trade practices, including key control systems, rekeying, lock installation, and high-security hardware.
  • Experience maintaining accurate records, inventories, and security documentation.
  • Proficiency with computer applications, databases, and computerized maintenance management systems (CMMS).
  • Strong interpersonal and customer service skills with the ability to coordinate effectively with vendors, contractors, and district personnel.
  • Valid Oklahoma driver's license and acceptable driving record.

Preferred Qualifications:

  • Advanced certification in locksmithing, key control management, or related security disciplines.
  • - Experience managing district-wide, campus-wide, healthcare, higher education, or other large institutional key control systems.
  • - Experience supporting capital construction, bond projects, or facilities management operations.
  • - Experience conducting security audits and maintaining compliance documentation.
  • - Experience with electronic access control systems and security hardware.

Working Conditions and Physical Requirements:

  • Heavy physical work; ability to lift, push, or pull objects up to 75 pounds.
  • Physical agility to bend, stoop, climb stairs, and work in small spaces.
  • Manual dexterity to enter data into a computer and precision-cut/stamp keys.
  • Exposure to unusual elements such as extreme temperatures, loud noises, and dirt/dust.
  • Physical work is a primary part (more than 70%) of the job.
