Job Summary
We are seeking a highly organized, compassionate, and detail-oriented Front Office Administrative who will also handle billing responsibilities. This position is essential to ensuring smooth day-to-day operations at our front desk while supporting accurate and timely insurance and patient billing processes.

Responsibilities 
Front Office Administration: 
  • Greet patients warmly and create a welcoming environment.
  • Manage phone calls, emails, voicemails, and appointment scheduling.
  • Check patients in and out, verify insurance, collect co-pays, and confirm appointments.
  • Maintain patient records, intake forms, and secure document handling in compliance with HIPAA.
  • Coordinate communications between patients, midwives, and administrative staff.
  • Monitor and restock front office supplies as needed.
  • Handle incoming/outgoing mail and package deliveries.
Billing Duties:
  • Prepare and submit medical claims to insurance companies accurately and in a timely manner.
  • Verify insurance coverage and obtain pre-authorizations or referrals when required.
  • Follow up on unpaid claims, denials, and patient billing issues.
  • Generate patient statements and handle billing inquiries professionally.
  • Reconcile patient accounts and process payments via various methods.
  • Maintain up-to-date knowledge of insurance regulations and billing codes (ICD-10, CPT).
  • Work closely with the midwives and clinical staff to ensure accurate coding and documentation.
  • Assure that initial contact information is completed in MacPractice when potential clients inquire and/or sign up for BirthCare Beginnings: Info and Tour Session 
  • Assist with negotiation of contracts with insurance companies 
  • Assure proper computer maintenance and functioning of the network 
  • Assist with Birth Center quality improvement program as necessary 
Qualifications 
  • Minimum 2 years of experience in a healthcare administrative and/or billing role. Associate degree or documented completion of medical office management program 
  • Experience with medical billing software (e.g., Kareo, AthenaHealth, or similar) and electronic health records (EHR).
  • Familiarity with women’s health, midwifery, or OB/GYN settings is a strong plus. Out of hospital birthing 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    Strong understanding of insurance processes, coding (ICD-10/CPT), and HIPAA compliance.
  • Strong attention to details, Good organizational skills 
  • Strong problem-solving capability
