The Operations Junior Data & Staffing Analyst supports the firm’s leadership, practice groups, and administrative departments by collecting, organizing, and analyzing data across multiple systems to drive strategic and operational initiatives. This position works closely with Practice Group Management, Legal and People Operations, Finance, and Practice Group leadership to support workload management, utilization tracking, staffing coordination, and operational efficiency across the firm’s practice groups.


This is a fast-paced, collaborative role that requires exceptional organizational skills and attention to detail, and the ability to liaise effectively between attorneys, firm leadership, and administrative departments. The Operations Junior Data & Staffing Analyst ensures that each group is well supported, aligned with firm priorities, and equipped to deliver outstanding client service.


Duties and Responsibilities

Data Analysis & Reporting

  • Pull, organize, and analyze data from the firm’s finances, timekeeping, and billing systems to identify trends, support decision-making, and improve operational performance.
  • Run regular weekly, monthly, and ad hoc reports to support business goals across operations, client service, and client relations.
  • Provide firm leadership with insights and visual analyses derived from structured and unstructured data sources.

Data Management & Quality

  • Maintain and improve data hygiene across multiple databases, ensuring consistency, accuracy, and completeness.
  • Perform data cleanup and maintenance projects to enhance reporting reliability and system efficiency.
  • Gather, validate, and integrate data from multiple systems and locations into consolidated reports and dashboards.

System Integration & Automation

  • Build and manage SharePoint lists with advanced functionality, connecting data from multiple systems for leadership access and workflow automation.
  • Develop forms that automatically funnel data into spreadsheets or dashboards for real-time tracking and executive review.
  • Use APIs, PowerShell scripts, and automation tools to connect systems, push and pull data, and streamline processes.
  • Assist in the transition and quality assurance of data between the firm’s management systems and new software platforms.

Business Intelligence & Visualization

  • Design, maintain, and enhance dashboards and visual reports in Power BI to monitor KPIs and business trends.
  • Translate complex data into clear, actionable insights for non-technical audiences.
  • Support firm initiatives in financial analysis, client relationship management, and business development through data-driven insights.

Operational Management

  • Compile, analyze, and maintain operational and staffing reports, including utilization, capacity, productivity, and matter assignment data.
  • Utilize Power Automate, Microsoft Lists, Microsoft Excel, and SharePoint skills to create automated processes and workflows for staffing, teams, and headcount ratios.
  • Monitor and analyze timekeeper workloads and assist in identifying staffing gaps, capacity concerns, and workflow trends to ensure a balanced workload while meeting client needs promptly and make recommendations to Practice Group leadership.
  • Coordinate with Legal and People Operations, Finance, Recruiting, and the Practice Group Leaders regarding attorney assignments and staffing needs.
  • Prepare recurring and ad hoc reports related to attorney productivity, billable hours, staffing allocation, and operational metrics.
  • Work with practice group leaders and firm leadership to understand business goals, plan for future needs, and allocate resources effectively. This includes tracking partner-associate ratios and providing staffing forecasts.
  • Set up and manage efficient workflows, task tracking, calendars, and systems for organizing legal information.
  • Serve as a key contact between partners, lawyers, and the firm’s support departments (billing, people ops, IT, marketing, etc.) to assist the practice group in achieving its objectives.
  • Identify and participate in development and implementation of improvements to processes and workflows, leveraging the firm’s technology resources and proven methods.

Qualifications

  • Bachelor’s degree in Business Administration, Computer/Data Science, Data Mining and Analytics, Engineering, Statistics, Economics, or a related field.
  • 1+ years of experience in computer/data science, legal operations, staffing coordination, finance, or professional services operations.
  • Prior experience in a law firm or professional services setting is preferred.
  • Experience and working knowledge of SQL is required.
  • Advanced Excel (including pivot tables, formulas, macros, and data modeling).
  • Advanced SharePoint functionality, including list setup, permissions, or automation.
  • Power BI for dashboard creation and data visualization.
  • Experience with APIs and data integration across systems.
  • Experience with Python for data applications.
  • PowerShell scripting for workflow automation and data transfer.
  • Excellent organizational, analytical, and communication skills with the ability to explain complex data concepts to diverse stakeholders.
  • Strong attention to detail, data accuracy, and system integrity.

Physical Requirements

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials. Work can be performed with or without accommodations.


Travel

5 – 10% domestic travel by ground and or air, dependent on firm needs
