HR Coordinator - Intake

The Caputo Group is a local, family-owned, professional employment organization (PEO) that provides human resources support services to our clients nationwide. We are looking for a skilled HR Coordinator who loves to think outside of the box and innovate! This is the perfect opportunity for someone who is looking to grow and expand their skillset at a company who values loyalty and friendliness.

We are looking for a flexible multi-tasker who is experienced, resourceful, and extremely proficient with auditing and maintaining employee files, working to approve a steady flow of new hires, and filing all regulatory onboarding / garnishment / UI tasks and paperwork. You must want to work in a fun and lively (and currently socially distanced) dog-friendly office. The HR Coordinator – Intake is a clerical position responsible for coordinating and managing employee onboarding and offboarding activities across multiple HR systems, in collaboration with internal and external clients and employees. This position requires a high level of accuracy handling, auditing, completing, maintaining, and filing local, federal and state mandatory activities for employees including verifying employment eligibility for varying states. The HR Coordinator – Intake is responsible for responding to and maintaining garnishments, and unemployment claim requests are filed and forwarded to all necessary parties. This position requires adherence to strict rules regarding the treatment of personal protected information.

Full-Time - Hourly - Department - Start Date

40 Hours Per Week - $18+ DOE - Human Resources - ASAP

JOB DUTIES:

  • Working collaboratively and directly with internal business partners, external business partners and employees to complete, audit, approve and onboard new hires.
  • Maintaining and updating employee files and information across multiple file systems, physical and digital with a high degree of accuracy.
  • Advising and educating internal and external business partners on regulatory hiring practices in a polite and professional manner. Working with current employees to correct errors as they are found through auditing.
  • Proactively seeking up-to-date regulatory hiring information to keep our onboarding operations current and compliant across multiple client states of operation.
  • Providing appropriate guidance in completion of, auditing, and filing of W4 forms, I-9 forms, I-9 support documents, and all mandatory or proprietary onboarding documents for multiple clients in varying states.
  • Receiving, auditing, completing, and submitting unemployment claims in collaboration with multiple state agencies.
  • Working collaboratively across departments to receive, file and communicate necessary garnishments including child support payments for submittal to Payroll.
  • Other duties as assigned.

QUALIFICATIONS:

  • At least two years of onboarding / compliance-based HR functional work.
  • Experience overseeing unemployment benefits and garnishments preferred.
  • Experience with E-Verify, Business Services Online - Social Security and employment eligibility verification a plus.
  • Demonstrated ability to work well with a diverse team.
  • Ability to communicate effectively with external and internal personnel utilizing various communication channels.
  • Knowledge of multi-state and federal employment regulations a plus.

ABILITY TO:

  • Read, comprehend, and following oral and written instruction.
  • Learn the operation of standard office equipment and to develop speed and accuracy.
  • Operate in the Microsoft Office Suite including Excel, Word, Outlook and Teams.
  • Attend work as scheduled and/or required.
  • The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle, or feel, and to stand, walk, reach, bend or lift up to 20 pounds.
