  • Manage all aspects of events during their occurrence to ensure customer expectations are met, including serving as a liaison between clients, departments, and vendors.


Job description

The Event Sales Coordinator will be responsible for the selling of RCGR event space, meeting rooms, hotel rooms, and other amenities; serving as the primary contact and coordinator for the planning of all sold internal and external events, managing all guest/event issues as they arise during the event, and post-event follow-up. Responsibilities will include the creation, growth, and management of customer accounts, to include account prospecting.

Essential Functions:

  • Provide exceptional guest service to all customers. Account prospecting to create sales opportunities for RCGR group sales.
  • Negotiating and closing sales as they relate to customer use of our event/meeting space, guest rooms, and other resort amenities.
  • Plan and coordinate all group sales events for external guests and in house events.
  • Manage the events as they take place to ensure flawless execution of customer expectations.
  • This will include serving as primary contact for the group sales customer and act as a liaison between the customer, RCGR departments, and vendors.
  • Follow up with site visits to existing corporate clients to help sell future business.
  • Prepare written correspondence to guests and to Event Services Management.
  • Enter and retrieve data into IvVy system.
  • Set up new client files and maintain files for sales functions.
  • Prepare and manage billing and final event details for booked groups and events.
  • Provide familiarization tours of the property to meeting planners and interested groups.
  • Meet and greet group arrivals as needed.
  • Keep current on all aspects of the resort.
  • Keep all departments informed of bookings and reservations; communicate needs of the clients so all departments are prepared to meet the needs of the client.
  • Assist with calculating monthly revenue number for Group Sales.
  • Coordinate and ensure successful execution of internal company events.
  • Perform other job-related duties as assigned.

Required:

  • High school diploma or equivalency. Associate’s degree preferred, or equivalent related work experience.
  • Minimum one year of prior hotel or group sales experience.
  • Must have demonstrated excellent verbal and written communication skills.
  • Demonstrate positive attitude, adaptability to quick change, and have experience in positive and negative verbal guest interaction.
  • Must demonstrate high-level of organizational skills while operating in a fast-paced work environment.
  • Previous experience/familiarity with audio/visual systems set-up and functioning.
  • Demonstrated competency in working with MS Word and Excel; prefer prior experience operating IvVy and Springer Miller systems.
  • Prefer prior hospitality industry experience, including familiarity with banquet menus and room set-up.
  • Must be willing/able to work a varied work schedule, to include nights, weekends, and holidays.
