Job Description
Position Overview
The Assistant Director for JCA Recruitment will assist with implementation of recruitment, audition, and new student enrollment processes for the Jordan College of the Arts in conjunction with the Associate Director for JCA Recruitment and JCA Leadership. This position will also represent JCA at various off-campus recruiting events with occasional out-of-state travel required.
Responsibilities
  • Coordinate logistical details of on-campus recruiting events (e.g. audition days, specialty days, etc.) including room/facility reservations, parking and dining options, creating schedules, coordinating student and faculty involvement, etc.
  • Organizing supplementary individual student visit experiences such as sample music lessons, class observations, shadow days, etc. and ensuring appropriate tracking in Slate.
  • Represent JCA at off-campus events such as college fairs, festivals, high school outreach events, etc. Occasional out-of-state travel may be required.
  • Manage printing and compiling of audition day files, schedules, signage, and welcome/check-in materials.
  • Prepare materials for external recruitment events such as college fairs, conferences, etc.
  • Coordinate and/or staff relevant Orientation/Welcome Week activities including tabling at University Resource Fair, logistical details for parent send-off reception, ensuring accuracy of JCA activities on Orientation/Welcome Week schedule.
  • In collaboration with JCA Associate Dean and Associate Director for JCA Recruitment, manage the New Student Registration process.
  • Manage day-to-day communications with JCA prospective students and applicants via Slate inbox, Butler email applications, and phone calls, using discretion to escalate communications to Associate Director as needed.
  • Facilitate one-on-one meetings with prospective students with Associate Director as well as provide tours of Lilly Hall/JCA facilities.
  • Maintain updated inventory of recruitment materials including JCA "swag" items and print materials, coordinating re-ordering/re-printing as needed.
  • In collaboration with Associate Director, monitor daily social media activity, respond to direct messages and comments appropriately, ensure adherence to social media content calendar.
  • Assist in maintaining college-specific displays and digital signage (e.g. Lilly Hall lobby displays)
  • Coordinate processing of pre-screening materials for undergraduate applicants with appropriate faculty.
  • Facilitate audition re-schedule requests from current applicants, including audition format changes (i.e. from virtual to in-person and vice versa).
  • Maintain updated database of local and other target area teachers, directors, organization leaders for recruitment purposes (e.g. list of area private music instructors)
  • Coordinate printing, signing, and mailing of JCA decision letters with the Associate Director.
  • Other duties as assigned.

Required Qualifications
  • Bachelor's degree in related field
  • 4-7 years of experience in admissions/recruiting, communications, event planning, or administration in an nonprofit organization or higher education setting
  • Excellent written and oral communication skills
  • Excellent organizational and project management abilities
  • Proficiency with Microsoft Office Suite, Adobe Creative Suite and/or Canva, WordPress/CMS, Google Workspace, and major social media platforms
  • Valid driver's license (some travel required)

Preferred Qualifications
  • Experience in college recruiting/admissions, recruiting experience in the arts highly preferred
  • Enthusiasm for student engagement and community-building
  • Experience working in one or more of the artistic disciplines offered in JCA (art, art history, arts administration, dance, music, theatre)
