Position Summary:
The Front Desk Representative serves as the first point of contact for patients at our pain management practice. This position is responsible for creating a welcoming and professional experience while managing front office operations, including patient registration, appointment scheduling, insurance verification, payment collection, and telephone communications. The Front Desk Representative maintains accurate patient records, protects patient confidentiality, and collaborates with clinical staff to ensure efficient patient flow. A compassionate, patient-centered approach, exceptional customer service, and strong organizational skills are essential to providing outstanding care to patients living with chronic pain.
Essential Responsibilities:
  • Greet patients and visitors in a warm, courteous, and professional manner.
  • Answer incoming telephone calls, schedule appointments, and route calls and messages appropriately.
  • Check patients in and out while verifying demographic, insurance, and registration information.
  • Collect co-pays, deductibles, outstanding balances, and other patient payments; issue receipts and reconcile transactions as required.
  • Maintain accurate patient records in the electronic medical record (EMR) system.
  • Verify insurance eligibility and benefits; assist with referrals and prior authorizations as needed.
  • Respond promptly to patient portal messages, emails, and other patient inquiries.
  • Coordinate with providers and clinical staff to facilitate efficient patient flow and appointment scheduling.
  • Maintain a clean, organized, and professional reception and waiting area.
  • Scan, file, fax, and upload documents while ensuring compliance with HIPAA and organizational policies.
  • Perform other administrative duties as assigned.

Qualifications:
  • High school diploma or equivalent.
  • Minimum of one (1) year of customer service experience required; medical office experience preferred.
  • Previous front desk experience in a medical practice strongly preferred.
  • Knowledge of medical terminology, insurance verification, referrals, and patient registration processes preferred.
  • Experience using electronic medical records (EMR) systems is preferred.
  • Proficiency in Microsoft Office and standard office equipment.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to multitask and prioritize responsibilities.
  • Professional appearance and demeanor with a commitment to providing exceptional customer service.
  • Ability to work effectively both independently and as part of a team.
