Position Summary:
Jax Spine & Pain Centers is seeking a detail-oriented and patient-focused Referral Coordinator to join our growing team. This position plays a critical role in ensuring patients receive timely access to specialty care by coordinating incoming and outgoing referrals, obtaining required authorizations, and serving as a liaison between providers, patients, insurance companies, and referring physician offices.
The ideal candidate is highly organized, thrives in a fast-paced medical environment, and has a strong understanding of insurance requirements, referral processes, and exceptional customer service.

Essential Responsibilities:
  • Process and coordinate incoming and outgoing patient referrals accurately and efficiently.
  • Obtain and verify referrals and authorizations from insurance carriers as required.
  • Schedule specialty appointments and communicate appointment details to patients.
  • Review patient records to ensure all required documentation accompanies referrals.
  • Communicate with referring providers, specialists, insurance companies, and internal clinical staff regarding referral status.
  • Monitor referral work queues to ensure timely completion and follow-up.
  • Resolve referral-related issues, denials, and documentation deficiencies.
  • Maintain accurate documentation within the electronic medical record (EMR).
  • Respond to patient inquiries regarding referral status with professionalism and compassion.
  • Ensure compliance with HIPAA and all applicable regulatory requirements.
  • Assist with additional administrative duties as assigned.

Qualifications:
  • High school diploma or equivalent required; Associate degree preferred.
  • Minimum of 2 years of medical office experience, preferably in referrals, authorizations, or care coordination.
  • Experience with pain management, orthopedic, neurology, or specialty medical practices is preferred.
  • Knowledge of commercial insurance, Medicare, Medicaid, and managed care referral requirements.
  • Experience using electronic medical records (EMR) systems.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications.
