Administrative Assistant

Full-Time /Non-Exempt

An affiliate of the Smithsonian Institution and AAM accredited, the Japanese American National Museum (www.janm.org) is recognized as one of the nation’s premier cultural museums. JANM creates groundbreaking historical and arts exhibitions, educational public programs, award-winning documentaries, and innovative curriculum that illuminate the stories and the rich cultural heritage of people of Japanese ancestry in the United States. JANM also speaks out when diversity, individual dignity and social justice are undermined, vigilantly sharing the hard-fought lessons accrued from this history. JANM is based in historic Little Tokyo neighborhood in downtown Los Angeles.

The Administrative Assistant provides support to the Human Resources & Volunteer Services Office and Finance department to securely maintain various personnel and finance files, volunteer records and documents of the institution. Assist with files, database management, reports, recruitment activities, accounts receivables, benefits administration, and other administrative tasks to support the departments.

Requires familiarity with online recruitment platforms, benefits enrollment/administration, database /records management, and dealing with confidential matters. Must be able to work cross-departmentally with confidential materials. Requires ability to plan and manage tasks and work well in both a team environment and independently.

Bachelors in Business Management, HR, or similar degree or an equivalent combination of education and relevant work experience. Minimum of 1 year of relevant experience working in personnel, administration or office management. Experience with recruitment and onboarding employees and volunteers, running reports in Volgistics and payroll, volunteer management, and familiarity with payroll is preferred. Experience working in a diverse, multi-cultural environment preferred. Knowledge of JA History & Culture and familiarity with Little Tokyo preferred. Proficiency with MS Office, Google suite and familiarity with HRIS databases. Requires occasional evening and/or weekend hours. Must be able to work with visitors of all ages to support museum sponsored events. On-site position, Monday-Friday schedule.
