Job description

Academic Program Coordinator, College Now (aHEO) - 400518

POSITION DETAILS

The Academic Program Coordinator is responsible for managing and coordinating all personnel and

human resources functions for the Office of Collaborative Programs. The position supports a large

and diverse workforce across multiple academic, workforce development, and grant-funded

programs and serves as the primary liaison between the department, Kingsborough Human

Resources, the Research Foundation, and other campus offices.

Responsibilities include:

  • Coordinate all phases of recruitment, hiring, onboarding, and separation processes for full time staff, adjunct faculty, College Assistants, Continuing Education instructors, Research Foundation employees, and seasonal personnel.
  • Prepare, process, and monitor appointments, reappointments, personnel transactions, and employment documentation in accordance with CUNY, Kingsborough Community College, and Research Foundation policies and procedures.
  • Serve as the department's primary liaison with Human Resources, Payroll, Budget, Business Affairs, and the Research Foundation on personnel matters.
  • Maintain accurate employee records and ensure compliance with federal, state, CUNY, college, and grant-funded program requirements.
  • Monitor employee time and leave records and coordinate payroll submissions to ensure timely and accurate compensation.
  • Track personnel budgets, staffing allocations, position vacancies, and employment funding sources.
  • Support hiring managers and program directors in developing position descriptions, posting vacancies, screening candidates, and coordinating interviews.
  • Manage onboarding activities, including employment verification, orientation, training coordination, and required compliance documentation.
  • Provide guidance and support to supervisors and employees regarding personnel policies, procedures, timekeeping, and employment-related matters.
  • Coordinate employment actions for grant-funded and externally funded staff and ensure adherence to funding agency requirements.
  • Prepare reports related to staffing, payroll, personnel activity, and compliance for internal and external stakeholders.
  • Maintain confidentiality of personnel records and sensitive employee information.
  • Assist with audits, compliance reviews, and reporting requirements related to human resources operations.
  • Develop and implement procedures that improve the efficiency and effectiveness of personnel processes within the Office of Collaborative Programs.
  • Support strategic workforce planning initiatives to ensure adequate staffing for academic, workforce development, and student support programs.
  • Perform related duties as assigned in support of departmental and institutional goal

The Academic Program Coordinator for College Now reports to the Academic Program Director of College Now or his/her designee.

QUALIFICATIONS

Bachelor's Degree required.

The College Now Academic Program Coordinator should possess a combination of administrative, organizational, communication, and student-centered skills to successfully support academic programs and goals.

  • Supports the directors and managers with orientation preparation, student advisement regarding program requirements, and providing basic information about financial aid and registration
  • Manages office records including faculty files; prepares reports and surveys; collects and maintains statistical data on program activities
  • Serves as liaison to various College offices to provide service delivery and appropriate referrals to students
  • Collects and reviews syllabi to ensure compliance with standards
  • Serves as resource person for students and faculty regarding program policies and procedures
  • May supervise office operations and/or monitor department budget
  • Performs related duties as assigned.
