Job description

REPORTS TO: IT Project Manager

SUPERVISES: N/A

GENERAL PURPOSE AND SCOPE: The IT Project Coordinator plays a key role in managing and supporting IT projects by coordinating activities, managing resources, and facilitating communication among stakeholders. They work with the IT Project Manager, teams, vendors, and other departments to align projects with organizational goals, and are also responsible for overseeing the IT Change Request process and managing IT communications and presentations.

DUTIES / RESPONSIBILITIES:

  • Maintain discretion and confidentiality in all areas pertaining to Austal USA IT systems.

  • Adhere to Austal USA's safety and health rules and regulations.

  • Comply and follow all procedures within the company security policy.

  • Assist in the development of medium to large scale project plans with complex requirements, timelines, and resource management.

  • Coordinate with internal IT teams, external vendors, and other stakeholders.

  • Manage project documentation including project requests, task lists, and status reports.

  • Must excel in time management and organizational skills, demonstrating the ability to effectively prioritize and manage multiple teams and projects.

  • Track project timelines and deliverables using project management tools.

  • Offer assistance where necessary and sharing in both successes and challenges.

  • Monitor project progress and performance through risk/issue management.

  • Schedule and facilitate meetings, such as kick-offs, status meetings, product demonstrations, and Change Advisory Board (CAB) meetings.

  • Serve as a point of contact for project team members and stakeholders, ensuring clear, accurate, and consistent communication.

  • Prepare and distribute project information to stakeholders in a timely manner.

  • Manage project-related communications, ensuring transparency to stakeholders so they are informed of changes, risks, and issues.

  • Maintain comprehensive project documentation, ensuring all required documents are up to date.

  • Participate in Business Analysis and requirements gathering documentation events.

  • Assist in the preparation of training and support documentation activities.

  • Assist with the creation and sustainment of Project Management Standard Operating Procedures (SOPs).

  • Prepare and retain up to date Master Service Agreement (MSA) documents.

  • Coordinate the allocation of resources, including personnel, hardware, and software, across projects.

  • Track resource availability and adjust project plans to reflect changes in resource capacity.

  • Assist in the review and testing of IT solutions as required.

  • Support the project team in ensuring that value is achieved by meeting required standards and deliverable specifications.

  • Other duties as assigned

QUALIFICATIONS/KNOWLEDGE/EXPERIENCE:

  • High School diploma or equivalent + 5 + years of IT Project Management experience.

  • 2+ years of Project Coordination/Management experience or equivalent capabilities.

  • Must possess outstanding written and verbal communication skills and demonstrate attention to detail

  • Project Management Certification(s) is preferred (i.e., Project Management Professional (PMP), Agile Scrum Master, SAFe)

  • Experience in Ship Manufacturing is preferred.

  • Experience with DoD contractor is preferred.
