Project Coordinator (Entry-Level)

The Project Coordinator supports the successful delivery of signage projects by assisting with coordination, communication, and administrative tasks throughout the project lifecycle. This is an excellent opportunity for someone early in their career who is organized, detail-oriented, and interested in learning project coordination within a fast-paced, team-focused environment.

Working closely with sales, design, production, and installation teams, the Project Coordinator helps keep projects on track by supporting schedules, documentation, and communication. This role will gain hands-on experience in signage projects while developing skills in project coordination, client communication, and operations.

This position is in office in Grand Rapids, MI 49412


Key Responsibilities

Project Support & Coordination

  • Assist with the coordination of signage projects from start to finish
  • Help track project timelines, schedules, and key milestones
  • Support preparation and updates of quotes, proofs, and project documentation
  • Maintain organized project files and ensure information is up to date
  • Learn and support zoning research and permit application processes

Team Support

  • Assist in scheduling and coordinating project kickoff meetings
  • Communicate updates between internal teams (sales, design, production, installation)
  • Help coordinate with vendors and subcontractors for materials and services
  • Support installation scheduling and logistics

Client Support

  • Respond to basic client inquiries and route questions to appropriate team members
  • Provide status updates as directed by project leads
  • Help ensure a positive client experience through timely and professional communication

Quality & Administrative Support

  • Assist in checking project details for accuracy and completeness
  • Support receiving and inventory checks to confirm materials are correct and undamaged
  • Help identify potential issues and escalate them to the appropriate team member
  • Participate in team meetings and contribute to process improvements
