Indotronix is seeking an :Executive Assistant with Ariba / Facilities Analyst Level 3, Tukwila, WA

Job Description:

  • Monitor complex contracts to ensure compliance with terms and regulatory requirements.

  • Develop contract specifications, supplier documentation, and support procurement activities.

  • Coordinate with internal teams and external suppliers to align on requirements and service delivery.

  • Plan, schedule, and manage facilities activities including maintenance, asset management, and service requests.

  • Create and maintain schedules based on operational, customer, and regulatory needs.

  • Support procurement processes including purchase requests and invoicing (Ariba).

  • Assist in Facilities Shutdown and GSEP administrative activities.

  • Lead or support process improvements, documentation, and standardization initiatives.

  • Analyze data, identify gaps, and recommend improvements for facilities, systems, and processes.

  • Prepare reports, presentations, and recommendations for stakeholders.

  • Provide technical and operational support for facilities systems and tools.

  • Coordinate cross-functional meetings (Legal, Safety, IT, Security, etc.) to ensure process alignment.

  • Support training development and delivery for processes and systems.

Required Skills:

  • Strong contract management and procurement knowledge

  • Experience with Ariba (purchase requests & invoicing)

  • Project management and process improvement skills

  • Analytical and problem-solving ability

  • Strong communication and stakeholder management

  • Ability to learn and work with new software systems

Preferred Skills:

  • Executive Assistant experience

  • Familiarity with facilities operations and compliance processes

Experience:

  • 6+ years of relevant experience in facilities, contracts, or operations
