This position provides general and clerical support within the Administration Department. The primary function of this position is to provide excellent customer service to AFSCME staff, affiliates, and members. Offering mail and merchandise fulfillment, document scanning, product inventory and responding to general service requests.
Duties:
  • Sorts, scans, and delivers US Mail and Interoffice Mail. Delivers commercial carrier letters and packages within both AFSCME HQ locations. Processes outgoing mail.
  • Responsible for receiving, inspecting, and recording all inbound products, delivery of products, and incoming packages. Maintain an orderly and organized temporary hold area for products/packages.
  • Operate all mailroom and fulfillment equipment, including an address printer, folding machine, 3-hole punch drill, signature and binding machines, laminating device, cutter, and envelope opener.
  • Prepare and assemble mailing materials and packages for shipping to include labeling, collating, and sealing.
  • Receive and process incoming customer service requests following instructions to meet deadlines.
  • May assist with the management of short-term onsite storage space to include receiving and logging incoming departments' boxes and materials, assigning the box storage location, and entering it into the online system.
  • Assists with accurately recording and processing information for offsite storage at Iron Mountain.
  • Responsible for maintaining the items in the onsite storage in an organized and safe manner, ensuring no aisles are blocked.
  • May communicate with staff from various departments regarding their inventory. May coordinate the transfer of on-site storage items to off-site storage and vice versa.
  • Responsible for gathering materials such as envelopes, letters, documents, etc. for various assignments and returning overflow items to requestor or storage area.
  • Fulfills department merchandise orders, maintains inventory after each order is filled. Enters and updates inventory databases and reconciles quantities on orders that are fulfilled.
  • Receives all procured merchandise. Forwards packing slips to Procurement Buyer and delivers or routes to designated locations.
  • Receives documents for scanning. Organizes, scans and saves to the correct digital folder and provides finished product to customer.
  • Responsible for troubleshooting phone/system issues, including but not limited to the following: number changes, additions, deletions, passwords, and ring patterns.
  • Performs a variety of the Administration department's functions, including; switchboard coverage, guard desk coverage, driving assignments, mail processing, deliveries to include supplies and packages, inventory, stocking, shipping, conference room setup and breakdown, and office moves.
  • May be required to perform other duties as assigned.
Requirements:
Education and Experience
High school graduate or equivalent and a minimum of three (3) years of work experience in customer service, mailroom, facilities support, and inventory control; or any equivalent combination of education and experience which provides the following knowledge, skills, and abilities.
Skills Requirements:
  • Knowledge of electronic postage machines, copy machines, binding and signature machines. In addition to a general working knowledge of mailroom, inventory and supply equipment and procedures.
  • Thorough understanding of how to operate office and mailroom equipment safely.
  • Proficient knowledge of the MS Office Suite to include - Word, Excel, Outlook, Calendar, and MS SharePoint, Teams.
  • Proficient organizational, analytical, logistical, and problem-solving skills.
  • Strong written skills and excellent oral communication to provide accurate, timely, and technical information to vendors and customers verbally and via email. The ability to understand and answer technical questions.
  • Effective communication skills to exchange routine information.
  • Written and verbal communication skills are proficient in exchanging routine information.
  • Ability to quickly comprehend the union environment.
  • Positive and customer-focused attitude in a fast-paced and changing environment.
