Job description

Office Administrator

World Central Kitchen is looking for an experienced, organized, and people-centered Office Administrator to serve as the hub of our Washington, DC headquarters. This role keeps the office running smoothly so that the people working from it can focus on the mission. The ideal candidate has done this type of work before, takes genuine pride in creating a welcoming and functional environment, and can juggle competing priorities with warmth and good judgment.

This is a non-exempt, hourly role that is primarily onsite at our DC office, ideally at least four (4) days in office.

Responsibilities

Office Environment and Facilities

  • Serve as the primary point of contact for building management, coordinating access, maintenance requests, and any facility-related needs
  • Maintain a clean, stocked, and welcoming office environment, including common areas, the kitchen, and shared workspaces
  • Manage office supply inventory and ordering, ensuring supplies are stocked without over-purchasing, with support from our DC-based supply chain team
  • Liaise with vendors and service providers (cleaning services, equipment maintenance, etc.) and track related invoices and contracts in coordination with Finance

Guest and Visitor Coordination

  • Manage the guest registration process with building security, ensuring a smooth and professional arrival experience for all visitors
  • Serve as the day-of point of contact for guests, greeting them and orienting them to the space
  • Coordinate with staff in advance of visits to ensure rooms, technology, and hospitality are ready

Meeting and Event Support

  • Coordinate meeting logistics for in-office gatherings, including room booking, AV setup, and catering orders
  • Support staff events and team gatherings, from ordering food and supplies to setting up and breaking down spaces
  • Partner with the People & Culture team on onsite elements of all-hands meetings, team days, and other in-person programming

Administrative Support

  • Manage courier service for all incoming mail and packages, routing them appropriately and flagging urgent items
  • Support onboarding logistics for new DC-based employees, including building access, and first-day orientation to the office
  • Assist with other administrative tasks as needed, including occasional support for the People & Culture team
