Job description

ACU is affiliated with the fellowship of the Church of Christ. This position requires the employee to be a professing Christian and to be willing to support the Christian mission of ACU.

Responsible to the Associate VP for Advancement and Alumni Relations for the following:

Basic Responsibilities (examples include)

  • Hunter Welcome Center

  • University Events Office Duties and Event Support

  • VIP Program

  • Home Football Tailgates

  • Movies on the Hill

  • Advancement Division Events

  • Campus Partner Events

  • Centralized Event Management Software Oversite

Essential Duties include the following. Other duties may be assigned. Reasonable accommodations may be made to enable individuals to perform the essential functions.

Hunter Welcome Center:

  • Plan, organize, design and help supervise events in HWC

  • Assist University departments and personnel with planning and implementation of events, meetings and conferences in the HWC

  • Provide assistance between the University and representatives of off-campus organization and groups who are planning events in HWC

  • Responsible for set-up of non-catered events held in the HWC

University Events Office Duties

  • Supervise Student interns

  • Maintain all venter insurance and contracts for University Events

  • Provide support to additional events as needed in Moody and various campus locations

VIP Program:

  • Collaborate with president office, VP of Advancement and Associate VP for Advancement and Alumni Relations to invite guest to campus for engagement and speaking Opportunities

  • Work with President's office, VP of Advancement and Associate VP for Advancement and Alumni Relations to coordinate special alumni, donors and friends of ACU to be invited to campus for engagement and speaking opportunities

  • Work to schedule with Provost and Deans for classroom opportunities

  • Schedule with Chapel office as needed

  • Coordinate with catering when needed

  • Coordinate on campus experience and follow up

  • Plan with athletics when needed

Home Football Tailgates: (co-plan with AR/UR and possible Student Gameday Directors)

  • Coordination with tent vendor

  • Coordination with all social clubs and various student groups

  • Coordination with athletics for Wildcat Walk and coordination with Big Purple for tailgate performance and march to stadium.

  • Produce overall events production schedule to include WFF, Facilities Mgmt, ACUPD, etc.

Movies on the Hill:

  • Work with ACU Marketing for promotion

  • Work with Athletics re: stadium reservations

  • Produce overall event production schedule to include WFF, Facilities Mgmt. ACUPD, etc

Advancement Division Events:

  • Plan with full team 6-8 events each year

  • Plan with full team Christmas Tree decoration in HWC

  • Plan President Circle Events, grand openings and ground breakings with the Director of Donor Relations.

  • Work with Alumni Relations on multiple events during the year.

Campus Partner Events

  • Assist with coordination and execution of Commencement, academic conferences, study abroad events, opening assembly, student life events, LYNAY, chapel and other events as needed, including producing the production schedules for needed events.

Centralized Event Management Software Oversite

  • Communication with building managers.

  • Running point on event approval committee, as needed.

Professional Development Requirements:

  • Proficiency in MS Office Suite and Banner or the willingness and ability to learn Banner

  • Interested in staying "current" through professional development in the alumni relations profession
