Job Description The Role: Executive Personal Assistant to Confidential UHNW Individual Location: Pleasant Hill, CA (Hybrid with flexibility to be onsite as needed) Compensation: $150,000-$200,000+ DOE Industry: Private Individual / Family Office A confidential Ultra High Net Worth individual is seeking an experienced Executive Personal Assistant to serve as a trusted right hand across all aspects of their personal life. This is a highly dynamic role for someone who thrives behind the scenes, anticipates needs before they arise, and enjoys bringing order, efficiency, and discretion to a fast-moving environment. The ideal candidate is exceptionally organized, resourceful, and proactive, with the ability to manage competing priorities while maintaining the highest level of confidentiality and professionalism.
No task is too big or too small, and you take pride in making someone else's life run seamlessly. Responsibilities: Manage and streamline the principal's day-to-day personal affairs and priorities. Handle tactical and administrative tasks, ensuring nothing falls through the cracks.
Coordinate personal calendars, appointments, reservations, and scheduling. Arrange domestic and international personal travel, including detailed itineraries. Research, source, and coordinate vendors, contractors, and service providers.
Assist with personal projects from planning through execution. Manage household logistics, maintenance schedules, and recurring services. Coordinate gifting, purchases, errands, and special requests.
Track personal expenses, invoices, and reimbursements as needed. Liaise with household staff, vendors, and other trusted advisors. Anticipate needs, identify opportunities to improve processes, and create systems that increase efficiency.
Maintain absolute discretion while handling highly confidential information. Qualifications: 7+ years of experience supporting a UHNW individual, executive, or private family. Exceptional organizational skills with outstanding attention to detail.
Strong problem-solving abilities and a proactive, solutions-oriented mindset. Comfortable managing multiple priorities in a fast-paced, ever-changing environment. Excellent written and verbal communication skills.
High emotional intelligence, sound judgment, and professionalism. Tech-savvy with proficiency in Google Workspace, Microsoft Office, and modern productivity tools. Flexible schedule with the ability to be available outside of traditional business hours when needed.
