Position Overview:
Job Title: HR Coordinator
Location: Rochester, NY
Department: Human Resources
Reports To: Director of HR Operations
Employment Type: Full-Time, Non-Exempt
Salary Range: $21.00 - $25.00/hour

Your Core Responsibilities:
HR Department Administrative Support
  • Serve as backup to the HR Operations Specialist, including processing status changes in UKG and sending termination/unemployment documentation.
  • Triage and assign HR Help Desk tickets within one hour of receipt.
  • Assist with basic HRIS reporting and monthly compliance/operational reports.
  • Coordinate fraud-check reporting to Ethico.
  • Prepare billing and usage reports (Indeed, Pitney Bowes, etc.).
  • Order HR supplies and process HR purchase orders and invoices.
  • Submit maintenance requests through QWare and coordinate desk setups for new HR hires.
  • Assist with planning HR meetings, engagement events, and department initiatives.
  • Perform additional administrative and operational duties as assigned.

Office & Reception Management
  • Provide professional reception coverage, greeting visitors and answering phones.
  • Manage reception calendar and appointment verification.
  • Assist employees with reception computer and printer needs.
  • Ensure coverage during breaks and PTO.
  • Maintain a clean, organized, and welcoming reception area.

Support to the Director of HR Operations
  • Assist with documentation preparation, project tracking, audits, and compliance efforts.
  • Maintain organized electronic HR files.
  • Support HR system implementations and department projects.
  • Draft internal communications and assist with presentation materials.

What You Bring:
Education
  • Associate's degree; Bachelor's degree in Human Resources, Business Administration, or related field (Preferred)

Experience
  • 2-5 years of progressive administrative experience, preferably in Human Resources.
  • HRIS experience preferred.
  • Proven experience handling confidential personnel information.

Technical Skills
  • Proficiency in Microsoft Office (Excel and PowerPoint required).
  • Experience with Sage Intacct or similar financial systems a plus.
