Project Coordinator

– Pharma Capital Projects Team Business Administration Support


Location:

Lawrenceville, NJ Area


Position Summary:

The Spear Group has an exciting career opportunity for an experienced business administration and project support professional to join a team of pharmaceutical manufacturing capital project engineering leaders and provide various project coordination support, on-site, in New Brunswick, NJ. The ideal candidate will provide project and administrative support to the Pharma Director of Engineering/ Capital Projects and to the overall Capital Project Management team reporting to the above-mentioned Director.


Key Responsibilities:

Project Support: Work with Capital Project Director and Leads to coordinate the day-to-day activities related to multiple capital projects:

Create PO’s for Project Managers –

  • Utilizing SAP, create PO’s. For Project Manager and outside vendors operating as the pharmaceutical company’s agent
  • Track the status of the PO’s
  • Distribute advanced copies of invoices for approval
  • Track invoices against the PO’s monitoring when payments are made and when to PO is completed.

Bi-weekly Site Communication-

  • Collect and organize the (twice monthly) for relevant activities on site
  • Collect input from PM’s
  • Provide the input to Communications Dept. for sitewide distribution
  • Relevant work such as roadwork/closures, temporary pedestrian traffic changes, elevators, parking lot closures, etc…..

Engineering Project Map -

  • Provide input and verify Engineering project maps

Project Photos in SCOPE-

  • Collect progress photos from PM’s
  • Review photos – (no people, no signs, no proprietary information)
  • Coordinate approval with Security
  • Post/Upload into SCOPE

Other

  • Department liaison to Safety and Security
  • Coordinate/assist summer interns – be a go-to support
  • Order office supplies
  • Register Guests with Security
  • Provide proactive project team support by scheduling meetings, developing agendas, distributing project related materials, capturing minutes, tracking assignments, and requesting updates and information for team assigned projects.


Required Experience and Education:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills
  • Excellent interpersonal and teamwork skills
  • Ability to organize, prioritize, and complete tasks in a timely manner.
  • Basic knowledge of project management concepts and tools
  • Knowledge of SAP is a plus
  • Knowledge purchase orders and invoicing basic principles
  • Intermediate level experience with MS Office, Smartsheet, or similar project management software
  • Demonstrated experience in coordinating projects, activities, and/or events
  • Experience or education related to biopharma, engineering, or industrial manufacturing is a plus


Education: Associates or bachelor’s degree preferred
