Job description

Who we are:

As a Management Services Organization (MSO), Spire provides the infrastructure for administrative operations that allows practices to operate at their highest level, so doctors can focus their efforts on what matters most – patient care. What you’ll do:  

Responsibilities/Duties:  

  • Review and update patient electronic medical records via practice management system. 

  • Follow all HIPAA regulations to protect patient confidentiality. 

  • Prepare patient charts for supervising physician/NP’s clinic weekly and daily as schedule changes. 

  • Include and update any blood and/or imaging tests, job descriptions, physical therapy progress notes, etc. in patient charts. 

  • Scan and index all paper files to patient EMR chart after each visit including any faxes and their confirmations. 

  • Maintain adequate stock of office supplies, patient education literature, office visit forms/and questionnaires in exam rooms.  

  • Review, manage, and complete patient forms as needed (disability paperwork, H&P forms, etc.) 

  • Assists providers with reviewing and responding to phone notes. 

  • Book appointments for all SMN physicians as needed. 

  • Obtain patient history as requested, report updates to the appropriate provider. 

  • Assists providers with office procedures, preps patients and workstations.  

  • Administer, log and track inventory of vaccines as needed. 

  • Plant subcutaneous PPD for Tuberculosis testing; read results 48-72 hours later. 

  • Phlebotomy via venipuncture and capillary finger-stick.  

  • Specimen centrifuging, packaging, and shipping. 

  • Coordinate employee flu vaccinations. 

  • Coordinate with fellow staff members to ensure clinical and administrative duties are always covered. May involve rotating provider responsibilities depending on the needs of the department. 

  • Clean exam rooms, wipe down exam tables and change table paper after each patient.  

  • Keep exam rooms fully stocked throughout the day: Gloves, table paper, gowns, drapes, etc. 

  • Maintain bio-hazardous material, waste, and sharps according to OSHA regulations. 

  • Correspond between VNA, laboratories and PAs to help manage Post-Op Coumadin patients on Tuesdays and Thursdays (overflow to other days is not uncommon). 

  • Escort patients to exam rooms, when needed.

  • Arrive promptly at the clinic according to your scheduled sessions.  Contribute and work together as a team to see that the clinic runs smoothly (rooming patients, completing DME/casts, cleaning exam & waiting rooms, stocking rooms).  

  • Verifies patient information by interviewing patient, recording medical history, confirming and recording all patient medications and allergies, confirming and documenting the purpose of the visit.  Obtaining OP reports, imaging reports, etc for the visit.  Opening images for Provider review.   

  • Prepares patients for examination by ordering preliminary physical tests/x rays.  Interact with other departments (electronic health records, radiology, service coordination) to obtain the resources needed to assist in patient care.  

  • Maintain accurate notes and records.  Maintain patient dignity and confidentiality.  

  • Remove sutures and staples (as appropriate). 

  • Prepare injectable medications as per physician orders.  Assist Providers with US guided procedures (portable and handheld devices).  

  • Dressings - assess the condition of wounds prior to cast applications and cast removal. Consult with Providers for further orders when problems are identified (as appropriate).  

  • Cast application - (including specialized casts, fracture braces) using plaster or synthetic materials. This involves adjusting, removing, repairing, bi-valving, wedging and windowing of casts.  Provide on the job instruction and demonstration of casting techniques to co-workers and other health professionals (medical students, interns, residents) as requested.  

  • Measure and fit patients for orthopedic braces, devices, and ambulatory aids. Instruct patients regarding care and proper use. Fabricate and apply splints and bandages (ie., finger splints, humeral splints, knee splints, back braces, etc.).  Appropriately document/code/bill for DME products.   

  • Instruct patient/family in the cast, splint, or brace care and skin care. Reinforce the teaching of the medical information given by the physician regarding the specific injury, treatment plan, and anticipated results.  

  • Order and maintain equipment (including cleaning and preparing instruments for autoclave).  

  • Manage orthopedic supplies, stock rooms, and empty biohazard bins.  

  • Collaborate with other health care professionals such as physicians, physician assistants, and nurse practitioners.  

  • Prepare for clinic: bring any necessary supplies, etc. Upon completion of clinic: clean & stock rooms, power down computers, possibly prepare for next Provider’s clinic with user logins.  

  • Assist and monitor other clinics when schedule & time allows assist with rooming, assisting/completing patient Kiosk’s, completing DME/casts, etc.  

  • Cover evening Urgent Ortho hours on a rotating basis within the department.  

  • Travel to satellite offices when assigned.  

  • Charting/prepping and review of schedules, ensuring reports, tests, etc., are available for the provider.   

  • Assisting with triage tasks.  

  • Training with Front Desk on checking in and checking out patients. 

  • Perform other duties as assigned.

Who you are: 

Qualifications:  

  • High school diploma or GED required.   

  • CMA preferred. 

  • Incumbent must be willing to travel to satellite offices to cover clinics. 

  • Minimum of six months medical assistant experience in a medical office or clinic setting preferred. 

  • Understanding filing systems, procedures, and medical records policies including state and federal compliance. 

  • Telephone systems and protocols, office equipment, and computer systems (various hardware and software). 

  • Knowledge of medical practice procedures, functions, and terminology. 

  • Familiarity with HIPAA, insurance regulations, policies, procedures, and other regulatory policies. 

  • Uses good grammar, spelling and punctuation, sentence structure and proofreading in communication for accuracy.  

  • Knowledge of common safety hazards and precautions to establish a safe working environment. 

  • Detail oriented, well-organized individual with ability to multitask and prioritize to address multiple needs simultaneously. 

  • Ability to interpret, adapt and apply guidelines and procedures. 

  • Develop and maintain effective and professional working relationships with patients, medical staff, coworkers and the public by displaying sympathy, tact and understanding. 

  • Must be a team player with a positive attitude, adjust to various personalities, work with a diverse population, demonstrating patience and professionalism. 

  • Represents the clinic in a professional manner. 

  • Capacity to work with and without supervision and perform a variety of routine tasks.
