Eligible for an Annual Discretionary Restricted Stock Units Bonus Target: 5%

About This Job
The Marketing Operations Coordinator supports the day-to-day operation of Enterprise Marketing's budget governance and reporting function. This role supports the monthly budget cycle - from month-end actuals and balance sheet population through multi-stakeholder review, variance tracking, and leadership reporting - and helps keep monthly spend, invoices, and purchase orders on schedule. The ideal candidate is detail-oriented, comfortable managing many concurrent deadlines, and effective at following up across FP&A, Accounts Payable, and Marketing leadership to keep budget deliverables on track. This position is foundational to giving Enterprise Marketing leadership clear, current, and accurate visibility into spend and budget performance every month.
Responsibilities:
  • Support the monthly budget close cycle, including pulling month-end actuals in the second week after month-end and assisting with balance sheet population ahead of stakeholder review.

  • Help coordinate the monthly budget review sequence across FP&A comparison, OCEO/HR, Marketing leadership, and final leadership sign-off; support monthly expense and headcount reviews in meetings with Marketing leaders, and prepare monthly budget reporting and bi-monthly interim updates that support 30/60/90-day forecasting and month-end close discipline.

  • Maintain budget visibility across entity, branch, cost center, and GL levels; assist in identifying and documenting variances (e.g., branch-level misallocations) for leadership review and correction.

  • Track monthly media spend and ensure timely submission of invoice and purchase order requests, escalating processing delays to the appropriate owner.

  • Support budget tracking for BPOs, contractors, and vendors, and help monitor personnel expense trends across branches.

  • Support Accounts Payable and invoice resolution by liaising with the AP team and the invoice portal on budget-related billing questions, discrepancies, and PO status.

  • Monitor Outlook and Teams channels for budget- and spend-related updates from stakeholders, and incorporate relevant items into monthly reporting.

  • Provide general administrative and coordination support to the budget governance function as portfolio volume requires.

Requirements:
  • 1-3 years of relevant business experience; exposure to budget or financial reporting, FP&A support, or business/marketing operations preferred.

  • Bachelor's degree preferred.

  • Strong organizational skills and attention to detail; able to track many concurrent deadlines without dropping follow-through.

  • Clear written and verbal communication; comfortable following up with stakeholders across FP&A, Accounts Payable, and Marketing leadership to keep items moving.

  • Proficiency with Microsoft Office, especially Excel for budget tracking and reporting.

  • Basic understanding of budget and financial reporting concepts (actuals vs. forecast, variance analysis) is a plus, but not required.

  • B2B and/or financial services experience preferred; prior exposure to a regulated or risk-conscious environment is a plus.

  • Demonstrated reliability and initiative in a prior role, internship, or academic project involving budget, finance, or operational coordination.
