Job description

POSITION SUMMARY:

The Sales and Marketing operations position is a high-profile, hybrid role within the organization, with clients, and with visitors, that performs administrative duties of a highly varied nature for the executive group, and specific operational roles and functions within the sales and marketing team (which includes supporting product management and development).

The estimated time commitment for the roles between the executive functions and the sales and marketing operational functions is split between 30% (executive) and 70% (sales and marketing)

ESSENTIAL JOB FUNCTIONS:

Executive Team:

  1. Administer the executive, sales, and marketing team’s schedule of appointments and meetings in Outlook while ensuring effective coordination and communication with internal or external meeting or event participants.
  2. Act as a self-motivated, respected, and highly trusted liaison between the executive, sales, and marketing team members, clients and company visitors, etc.
  3. Plan, perform and communicate the status of administrative duties with speed and accuracy with a high degree of independence, confidence, and attention to detail.
  4. Coordinate all business travel arrangements for the executive, sales, and marketing teams, including flights, hotels, vehicles, event registrations, etc. as needed, with the ability to adapt to changes as needed.
  5. Assist clients, client representatives, and visitors in coordination of travel, lodging, meals, and local transport when visiting the company.
  6. Organize launch events, luncheons or other entertainment events for clients as needed.
  7. Holds primary responsibility for company event planning and calendar management, including support for all-hands meetings, career fairs, facility tours, etc.
  8. Screen telephone calls for the company and route or reply to incoming correspondence.
  9. Generate letters, memos, reports, confidential information, etc. as requested.
  10. Support sales and marketing in lead management, administration, and follow up if requested.
  11. Assist marketing with administrative updates to website content, communications drafting, and social media updates when requested.
  12. Balance credit card statements and file expense reports.
  13. Manage and maintain headquarters location for cleaning, service, organization, etc.

Sales/Marketing/Product Development:

Brand & Social Media Stewardship

  1. Coordinate and publish content across social media platforms, ensuring alignment with Burger Boat’s legacy of craftsmanship, innovation, and premium positioning
  2. Tailor messaging to reflect the nuances of each business segment while maintaining a consistent brand voice
  3. Monitor engagement and audience trends, providing regular summaries and insights on content performance and reach
  4. Marketing Campaign & Outreach Support
  5. Assist in the execution of targeted email campaigns and outbound sales initiatives across multiple market segments
  6. Track campaign effectiveness, including open rates, engagement, and response trends, and provide actionable insights
  7. Maintain and segment contact databases to support highly personalized outreach aligned with the company’s relationship-driven sales approach
  8. Trade Show & Event Coordination
  9. Plan and coordinate logistics for domestic and international boat shows, industry exhibitions, and client events
  10. Develop detailed event agendas and briefing materials for attending leadership and sales teams
  11. Coordinate shipment and delivery of high-value marketing materials, displays, and branded assets to ensure a polished, on-brand presence
  12. Support on-site execution to ensure a seamless and professional experience reflective of the Burger brand

Sales Enablement & Client Support

  1. Assist in preparing bespoke presentations, proposals, and marketing materials tailored to individual clients and projects
  2. Coordinate closely with sales, engineering, and leadership teams to ensure accuracy and alignment in client-facing materials
  3. Maintain organized libraries of photography, renderings, specifications, and project highlights across all segments
  4. Cross-Segment & Cross-Functional Coordination
  5. Provide day-to-day support to the Senior Product Manager and Marketing Director/Manager on strategic and tactical initiatives
  6. Facilitate coordination between departments to ensure consistent messaging and timely execution across yachts, commercial, refit, and military programs
  7. Help balance priorities across segments with differing timelines, audiences, and regulatory considerations

Content Development & Brand Consistency

  1.  Assist in the creation and refinement of marketing collateral, including brochures, digital content, and presentations
  2.  Ensure all materials reflect the company’s standards for quality, detail, and visual excellence
  3.  Support storytelling efforts that highlight Burger’s heritage, technical expertise, and custom capabilities
  4. Website Content Maintenance & Updates
  5. Perform routine, non-structural updates to the company website, including adding new project photography, vessel highlights, and marketing content
  6. Review and update website copy to ensure accuracy, consistency, and alignment with brand tone across all four business segments
  7. Identify and correct errors in spelling, grammar, and formatting to maintain a high-quality, professional digital presence
  8. Coordinate with internal stakeholders to ensure timely updates of new builds, refit projects, and company news

Operational & Administrative Support

  1. Track timelines and deliverables for marketing initiatives to ensure deadlines are met
  2. Coordinate with external vendors, including designers, printers, and event organizers
  3. Assist with tracking marketing and event-related budgets
  4. Contribute to continuous improvement of marketing processes, tools, and systems

POSITION IN ORGANIZATION:

This position reports directly to the Chief Sales and Marketing Officer, with a dotted line to the executive team (CEO, COO, and CFO) and has no direct reports, but demonstrates confidence, awareness, the ability to influence without authority to achieve successful outcomes regardless of reporting structures.

DECISION MAKING:

Exercise judgment consistent with Burger’s mission, vision, and code of business conduct regularly and continuously. Assumes responsibility for decisions, consequences, and results. 

COMMUNICATION:

Must demonstrate great verbal and written communication skills, including the ability to listen, talk, and teach. Demonstrate an all-pervasive positive attitude and approach to obstacles. Possess the ability to communicate professionally and effectively with clients, employees, vendors, etc. Identifies and escalates issues and obstacles in a timely manner with recommendations on how to overcome and move forward.

EDUCATION:

Bachelor’s degree in executive or office management/administration, marketing, communications, or a related field strongly preferred. Associates degree with strong, applicable work experience also considered.

EXPERIENCE:

  1. At least 5-7 years of prior experience as an marketing coordinator, project leader, executive assistant, office manager, or similar role where multi-tasking with multiple priorities has been the norm rather than the exception.
  2. Experience in luxury goods, marine, manufacturing, construction, or B2B and DTC (direct to consumer) environments would be preferred.
  3. Solid Experience working with and creating documents and presentations in Microsoft Office, including Word, Excel, Outlook, and PowerPoint. 
  4. Practical working knowledge and real-world experience in working with populating content management system-based websites, as well as rendering analytics in social media platforms.

PHYSICAL REQUIREMENTS:

Frequent seated position for extended periods of time while operating a computer. Will occasionally need to walk/stand for longer periods for company events and tours.
