Operations CoordinatorPosition Summary

The Operations Coordinator supports the Workplace Operations and Operations Standards teams by coordinating projects, programs, communications, and workplace initiatives that impact employees and business operations. This role is responsible for supporting the development, implementation, and maintenance of Standard Operating Procedures (SOPs), while assisting with workplace programs, project coordination, and operational excellence initiatives.

Key ResponsibilitiesOperations & Process Improvement
  • Support the development, implementation, maintenance, and oversight of Standard Operating Procedures (SOPs).
  • Help drive operational consistency through the standardization of workplace processes and best practices.
  • Assist in creating and implementing workplace standards across multiple sites to ensure alignment and continuity.
  • Identify opportunities for process improvements and operational efficiencies.
Communications & Workplace Support
  • Draft, edit, proofread, and distribute professional communications to employees and leadership teams.
  • Create employee-facing materials including emails, presentations, signage, flyers, templates, and workplace alerts.
  • Partner with Construction and Design teams to communicate operational impacts, workspace changes, and construction updates.
  • Provide timely communication regarding office moves, relocations, workspace changes, and large-scale operational projects.
Workplace Operations Coordination
  • Support workplace programs related to facilities, mail services, janitorial operations, transportation, culinary services, and construction projects.
  • Coordinate new hire seating assignments, space requests, headcount tracking, hotel desk management, and internal office moves.
  • Assist with planning and execution of workplace projects and operational initiatives.
Event & Project Management
  • Support event planning and coordination by creating action plans, schedules, project timelines, and budget tracking.
  • Coordinate resources and team support for workplace events and special projects.
  • Track project deliverables and ensure deadlines are achieved.
Reporting & Administrative Support
  • Develop and maintain reports, project trackers, schedules, budgets, and performance metrics.
  • Prepare status reports, meeting materials, project updates, and operational summaries.
  • Schedule meetings and provide administrative support for team alignment sessions and strategic planning activities.
  • Maintain organized documentation and records for operational programs and initiatives.
Research & Business Support
  • Conduct research, audits, and analysis to support workplace operational improvements.
  • Assist with proposal preparation and implementation of new workplace programs.
  • Build strong partnerships across departments to support business objectives and workplace initiatives.
QualificationsPreferred Qualifications
  • Bachelor's degree in Business Administration, Operations Management, Facilities Management, Communications, or a related field.
  • 3-5+ years of experience in workplace operations, facilities, project coordination, or a related corporate environment.
  • Experience coordinating projects, programs, and cross-functional teams.
  • Advanced proficiency in Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Word.
  • Experience with Bluebeam Revu or similar software preferred.
