POSITION: Administrative Coordinator

LOCATION: AEI's Reno, Nevada office


POSITION SUMMARY


AEI Consultants is currently seeking a full-time Administrative Coordinator to join and support the Human Resources Department. ย This position will be based in AEI's Reno, NV office. ย The Administrative Coordinator will be responsible for handling a variety of personnel related administrative tasks and will provide support to the HR department.ย 


We are seeking a professional, dedicated, and enthusiastic individual with the following abilities and attributes to perform the tasks listed below.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide administrative support for the day-to-day operations of the Human Resources department
  • Maintain and update employee personnel records while ensuring confidentiality and accuracy
  • Process HR documentation related to employee lifecycle events, including hiring, onboarding, status changes, and separations
  • Prepare reports and documentation related to staffing, recruitment, training, performance management, and other HR initiatives
  • Assist with maintaining HR files
  • Respond to routine employee inquiries and direct questions to the appropriate HR team member
  • Coordinate HR meetings, training sessions, surveys, and special projects
  • Maintain project timelines, meeting notes, and action items to ensure successful completion of HR initiatives
  • Prepare reports, spreadsheets, presentations, and other administrative materials
  • Assist with employee engagement, recognition, and internal communication activities
  • Support implementation of new HR programs, systems, and process improvements
  • Any other administrative tasksย 

QUALIFICATIONS

  • 2-3 years related experience in administrative work
  • Proficient with MS Office (Excel, Word, Outlook)
  • Ability to interface and work well with diverse staff, while maintaining confidentiality
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Excellent verbal and written communication skills
  • High level of attention to detail and accuracy
  • Ability to handle confidential information with discretion and professionalism
  • Eagerness and willingness to learn and perform new tasks
  • Must be able to work in AEI's Reno, NV office Monday through Friday

PHYSICAL REQUIREMENTS

  • The work environment is indoors in a typical office setting. The noise level in the work environment is usually moderate. While performing the duties of this job, the employee is regularly required to sit, type, handle office and/or field equipment, speak and hear. The employee may occasionally be required to stand, walk, balance, kneel or crouch. The employee may be required to travel independently and lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to focus.ย
