Job description

We are a collaborative team that supports litigation, risk, compliance and procurement services for a publicly traded company. Our work includes managing an active litigation docket, advancing enterprise risk initiatives, supporting compliance and ethics programs, and partnering with the business on contract and procurement matters.
In this role, you will support attorneys, paralegals, and business partners across litigation, compliance, risk management, and procurement, while also providing executive administrative support to the VP of Litigation & Enterprise Risk and Chief Compliance Officer as well as the Chief Procurement Officer. You will work closely with an engaged team of legal, risk, and procurement professionals.

Executive Administrative & Team Support
  • Provide executive administrative support to attorneys, paralegals, business partners, the VP of Litigation & Enterprise Risk as well as the Chief Procurement Officer and procurement specialists.

  • Support the litigation, risk management, and procurement teams by anticipating needs and ensuring seamless execution of administrative activities.

  • Process vendor invoices, legal billing, and expenses accurately and timely.

  • Coordinate legal settlement documentation and facilitate payment processing.

  • Order supplies.

  • Assist with onboarding logistics and coordination.

  • Provide back-up support to other administrative professionals.

Calendar, Coordination & Relationship Management
  • Manage calendars and schedule meetings with internal teams, outside counsel, and business partners.

  • Coordinate meeting logistics including conference rooms and virtual platforms.

  • Book and manage travel; prepare expense reports

  • Prepare team meeting agendas

  • Organize and prepare materials for meetings, including catering.

Document & Information Management
  • Draft, proofread, and format legal and business documents with accuracy.

  • Assist in drafting and editing PowerPoint presentations

  • Maintain organized records in SharePoint and document management systems.

  • Ensure document version control and accessibility.

Events & Culture
  • Help plan and execute team, Law Department, and HQ events such as lunches, happy hours, field trips and parties.

  • Support a positive and inclusive team environment.

What We Offer:

Compensation: This role is eligible for our annual merit-increase program, and we are targeting a salary range of $68,400-$102,600 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 5% of base pay. Potential plan funding may range from zero to two times that target.

Benefits: When you join our team, you and your dependents will be offered coverage under our comprehensive employee benefits plan, which includes medical, dental, vision, short and long-term disability, and life insurance.  We offer a pre-tax Health Savings Account option which includes a company contribution.  Other benefit options are also available such as voluntary Long-Term Care and Employee Assistance Programs. Retirement: Employees are able to enroll in our company's 401k plan, which includes a paid company match in addition to our contribution equal to 5% of your eligible pay.

Paid Time Off or Vacation: We provide eligible employees who are scheduled to work 25 hours or more per week with 3-weeks of paid vacation to use during your first year of employment. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. We also recognize eleven paid holidays per year, providing a total of 88 holiday hours and paid parental leave for all full-time employees.
