Job description

The Intake Manager will oversee the firm's entire intake process from first contact through case handoff ensuring every inquiry is handled promptly, accurately, and with the care that turns a call into a client. This role requires a strong leader who can coach a team, analyze performance data, and continuously refine how we convert leads while maintaining compliance with firm policy and legal standards.

Compensation:

$60,000 – $75,000 annual DOE


Responsibilities:
  • Oversee and manage the firm's intake process to ensure timely, accurate, and efficient handling of client inquiries and consultations.

  • Continuously evaluate and refine the intake process to maximize client conversion rates and enhance satisfaction.

  • Collaborate with the marketing team to provide insights and data to improve lead generation and campaigns.

  • Work closely with attorneys and staff to ensure accurate information gathering and a smooth transition from intake to case management.

  • Coach, mentor, and train the intake team to improve their communication skills and effectiveness.

  • Develop strategies to enhance the overall client experience from initial contact through case resolution.

  • Monitor intake performance metrics and implement data-driven improvements.

  • Ensure the team maintains compliance with firm policies and legal standards throughout the intake process.


Qualifications:
  • Minimum 2 years of experience in client intake, customer service, sales, or a related role at a law firm (required).

  • At least 2 years in a supervisory or leadership role, with strong management skills.

  • Exceptional communication and interpersonal abilities, with a talent for relationship-building and collaboration.

  • Outstanding organizational and time-management skills, with the ability to prioritize multiple tasks effectively.

  • Knowledge of personal injury law and law firm operations is a plus.

  • Tech-savvy, with experience using Lead Docket or other legal case management systems.

  • Analytical mindset with the ability to monitor and improve performance metrics.
