Job description

Dentons US LLP is currently recruiting for a New Business Intake Manager. This position is responsible for ensuring effective client and matter setup and maintenance controls are followed throughout the onboarding process. The New Business Intake Manager will help ensure the Firm complies with its matter setup obligations and appropriately manages ongoing matter maintenance issues.

Responsibilities:

  • Reviews client, matter, and billing information on all New Business Intake forms for completeness and accuracy, and modifies data as needed.
  • Processes DentonsOpen client and matter maintenance forms at the Finance, Final Finance Review, and Final Risk Review steps.
  • Coordinates the creation of and updates to Jira requests for the DUS region.
  • Ensures credit allocations are set up in matter forms to accurately reflect all reporting requirements.
  • Manages the assigned team, including assigning work, monitoring quality and timeliness, resolving issues, providing training and mentorship, and assessing performance.
  • Manages matter updates related to the Departing Lawyer process, including credit allocation changes and matter closures.
  • Manages large intake processes for lateral hires and specialty groups, and coordinates the creation of client and matter numbers.
  • Identifies matters that require escalation to a senior Finance team member.
  • Manages department records, including the advance waiver chart, related documentation, and oversight of scanning efforts associated with department records.
  • Manages the process for reviewing and updating the Firm's internal compliance policies and procedures.
  • Assists with matter opening and intake training for new hires.
  • Monitors the DentonsOpen support mailbox and responds to inquiries from end users in the U.S.
  • Participates in the Global Enhancement Working Group, which includes members from other regions.
  • Reviews client release letters, works with IT to prepare electronic files for transfer out of the Firm, coordinates matter closures, and partners with other regions as needed when client release letters identify matters as WTMs.
  • Assists with projects and ad hoc assignments as required.
  • Other duties as assigned to fully meet the requirements of the position.

Experience and Qualifications:

  • Bachelor's degree or equivalent experience required.
  • 6+ years of experience overseeing a new business intake process.
  • Proven ability to manage a team with diverse personalities, skill sets, and priorities.
  • Strong, credible leadership presence with the ability to guide, coach, and support team members.
  • Well-developed ability to balance multiple priorities in a fast-paced environment.
  • Self-starter with excellent interpersonal, written, and verbal communication skills.
  • Ability to ensure compliance with Firm policies and control procedures.
  • Ability to confidently and clearly explain problems and issues to partners and clients, and proactively contribute to resolution.
  • Strong organizational skills, accuracy, and attention to detail.
  • Excellent technical proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Technical proficiency with Elite 3E/Aderant and InTapp preferred.
  • Ability to work independently and effectively with individuals at all levels, both within a local team and remotely as part of a larger team.

Pursuant with states' laws, the salary range for this position is $120,000 to $150,000 based on experience and local market.
