Administrative SupportPosition Title:Legal Administrative Assistant - General CounselJob Family Group: Professional StaffJob Description Summary:The Legal Administrative Assistant supports the attorneys and staff of the Office of the KU General Counsel, primarily at its University of Kansas Medical Center campus. This in-person position performs clerical, basic legal assistant, and administrative duties. Duties include welcoming visitors to the office, maintaining electronic files, assisting in the management of certain corporate documents for the University's affiliates, routing and tracking a variety of legal requests and documents, intake and management of contracts for review and signature, and scheduling and calendaring of meetings. The Legal Administrative Assistant may also assist in gathering and assembling University records for administrative legal proceedings or other production.Job Description:

Job Responsibilities

Administrative and Non-Litigation Support - 60%

  • Greet and assist visitors; set up conference room for meetings; answer, screen and route telephone calls and emails; handle incoming and outgoing mail and faxes; manage necessary office supplies.

  • Log and track contracts and agreements from intake to full execution, communicate with internal departments and external parties, route for signature, maintain electronic files and contracts in repository database.

  • Assist with drafting and filing of organizational and formation documents for University's corporate affiliates.

  • Monitor departmental mailboxes and direct incoming requests for legal services, subpoenas, records requests, and legal filings for timely response.

  • Support attorneys and other office staff with projects requiring clerical assistance.

  • Assist with office or University events, providing notary services on request.

Litigation Support - 25%

  • Assist the Director of Litigation and assigned attorneys with various stages of investigations and claims activities as requested.

  • Assist with gathering and organizing records from internal departments for use in internal proceedings and outside litigation.

  • Assemble and format exhibits for internal hearing.

  • Assist with proofing, formatting, finalizing and submitting court and administrative filings.

  • Assist with gathering, preparing and producing records in response to subpoenas and records requests.

  • Set and track litigation holds.

  • Prepare chronologies and timelines.

Outside Counsel legal invoices - 10%

  • Track and process outside counsel invoices for legal services to the University and maintain existing database for tracking global expenditures.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
