Intake Coordinator, Expedited Case Processing (ECP)


Temporary 8-month Contract, Full-Time

We are seeking an Intake Coordinator to join our Expedited Case Processing Team. Reporting to the Manager, Expedited Case Processing, the incumbent is responsible for the intake and triage of complaints and reports related to professional regulation matters. The role involves gathering and assessing information, identifying key issues, and conducting initial risk assessments to support the timely and effective processing of cases.

The key areas of responsibility are to:

  • Review information in accordance with Unit protocols. Identify regulatory issues and risk, and matters for possible informal resolution.
  • Follow-up with employers, complainants, the Ministry of Education, Police, Children's Aid Societies, courts and other parties to obtain necessary information.
  • Prepare concise summaries of the initiating documents for the Manager's review and consideration. Follow next steps as directed by the Manager.
  • Draft required correspondence and notifications (e.g. notice of delay letters, notifications to employers). Ensure all personal information included in notifications is redacted as appropriate/required to maintain confidentiality
  • Perform case management activities including: closing files, managing receipt of case documents, creating and organizing electronic files, updating the case management system and assisting with preparing reports on trends and emerging issues.
  • Keep up-to-date with applicable legislation, trends and practices.
  • Other duties as assigned.


Qualifications

  • Two-year college program.
  • 1 to 3 years' experience in a regulatory setting.
  • Knowledge of the Early Childhood Educators Act, 2007, the Ontario Childcare system, and/or education.
  • Flexibility to work well independently and in a team in an environment with changing priorities.
  • Written communication skills to prepare detailed and accurate case summaries and documentation (e.g. disclosure, notifications).
  • Listening, verbal communication and relationship building skills to communicate with a variety of parties (e.g. courts, Police, complainants, employers) to collect and provide information related to professional regulation matters.
  • Resilience, tact and diplomacy to communicate with occasionally irate and frustrated individuals (e.g. members, complainants) on sensitive matters (e.g. complaints, licensing issues) in a respectful and culturally appropriate manner.
  • Professional judgment to ensure that information disclosed is appropriate and to maintain neutrality towards all cases/ issues encountered in the role.
  • Time management and attention to detail to prepare accurate summaries of case files and ensure that all disclosure/case documentation is completed within required timelines.

Nous sommes a la recherche d'un(e) coordonnateur(trice) de reception pour rejoindre notre equipe du traitement accelere des dossiers. Relevant du chef, Traitement accelere des dossiers, la personne titulaire du poste est responsable de la reception et du triage des plaintes et des signalements lies aux questions de reglementation professionnelle. A ce titre, elle recueille et evalue l'information, cerne les principaux enjeux et realise des evaluations initiales des risques afin de favoriser un traitement des dossiers efficace et en temps opportun.


Les principales responsabilites sont les suivantes:


  • Examiner l'information conformement aux protocoles de l'unite. Cerner les enjeux reglementaires et les risques, ainsi que les dossiers pouvant faire l'objet d'une resolution informelle.
  • Effectuer des suivis aupres des employeurs, des plaignants, du ministere de l'Education, des services de police, des societes d'aide a l'enfance, des tribunaux et d'autres parties prenantes afin d'obtenir les renseignements necessaires.
  • Preparer des resumes concis des documents initiaux aux fins d'examen et d'evaluation par le ou la chef(fe). Effectuer les etapes suivantes selon les directives donnees.
  • Rediger la correspondance et les avis requis (p. ex., lettres d'avis de retard, notifications aux employeurs). S'assurer que tous les renseignements personnels inclus dans les avis sont caviardes de maniere appropriee, conformement aux exigences, afin de preserver la confidentialite.
  • Effectuer des activites de gestion de dossiers, notamment : cloturer les dossiers, gerer la reception des documents lies aux dossiers, creer et organiser les fichiers electroniques, mettre a jour le systeme de gestion des dossiers et contribuer a la preparation de rapports sur les tendances et les enjeux emergents.
  • Se tenir informe(e) des lois, des tendances et des pratiques applicables.
  • Effectuer toute autre tache connexe assignee.

Qualifications

  • Programme d'etudes collegiales de deux ans.
