POSITION SUMMARY


The Compliance Administrator is responsible for administering the company's compliance, insurance, licensing, audit, and customer compliance programs. This role serves as the primary coordinator for compliance documentation, regulatory filings, commercial insurance administration, customer onboarding requirements, vendor compliance, and audit support.


The successful candidate will work cross-functionally with operations, finance, customers, vendors, insurance brokers, and regulatory agencies to ensure compliance obligations are met and appropriately documented.


ESSENTIAL RESPONSIBILITIES

Compliance & Regulatory Administration

  • Maintain compliance policies, procedures, and supporting documentation.
  • Manage regulatory filings, registrations, permits, and license renewals.
  • Monitor regulatory requirements affecting transportation, warehousing, and logistics operations.
  • Coordinate responses to regulatory inquiries, audits, and compliance reviews.
  • Maintain compliance calendars, records, and corrective action tracking.

Customer & Vendor Compliance

  • Manage customer compliance questionnaires, onboarding requirements, and certification requests.
  • Coordinate compliance documentation required by customers, vendors, carriers, and business partners.
  • Maintain vendor qualification records, certificates, licenses, and compliance documentation.
  • Support customer audits and compliance reporting activities.

Commercial Insurance Administration

  • Administer the company's commercial insurance programs, excluding employee benefits and workers' compensation.
  • Coordinate annual insurance renewals, underwriting submissions, and policy documentation.
  • Manage Certificates of Insurance (COIs) and contractual insurance requirements.
  • Maintain insurance schedules, policy records, and claims documentation.

Quality, Audit & EHSS Support

  • Support ISO 9001 documentation, audits, and corrective actions.
  • Assist with internal and external compliance audits.
  • Maintain Environmental, Health, Safety, and Security (EHSS) records, policies, and compliance documentation.
  • Prepare reports, metrics, and compliance records for management review.
Requirements:

REQUIRED

  • Bachelor's degree or equivalent experience.
  • 5+ years of freight forwarding related experience in compliance and regulatory administration.
  • Experience managing documentation, audits, regulatory filings, or insurance-related processes.
  • Strong proficiency in Microsoft Excel, Word, and Outlook.
  • Excellent organizational, analytical, and communication skills.
  • Ability to manage multiple deadlines with a high degree of accuracy and attention to detail.

PREFERRED

  • Experience in freight forwarding, transportation, logistics, warehousing, or supply chain operations.
  • Experience administering commercial insurance programs.
  • Experience supporting ISO 9001 or other quality management systems.
  • Experience with customer compliance requirements, audits, and regulatory reporting.
