Job description

POSITION DESCRIPTION

JOB TITLE: Legal Assistant
STATUS: Non-Exempt

SUMMARY: Under general supervision and according to established policies and procedures of the Strategic Business Unit Manager or their designee and the Human Resources Team, the Legal Assistant will perform a variety of duties specific to attorney and business unit support including organizing and preparing client matter information for submission to the appropriate platforms, client support assistance and general administrative duties. This position is non-exempt.

Duties and Responsibilities โ€“ Legal Assistant:

  • Preparation and e-filing of legal documents.
  • Processing/scanning mail.
  • New file set up in document management software.
  • Organizing and maintaining high volume of electronic files.
  • Detail management of case files.
  • Oral and written communications with a variety of entities, including clients, courts, opposing counsel, vendors, etc.
  • Docketing and managing deadlines, scheduling, calendaring, and completing expense reports.

Job Requirements/Skills:

  • High level of organizational skills, attention to detail and ability to manage and prioritize a variety of matters while working with multiple supervisors.
  • Technologically savvy with a high proficiency in MS Word, Excel, and Outlook.
  • Has the ability and willingness to learn new technology applications and processes.
  • People oriented โ€“ enjoys interacting and communicating cooperatively with a wide range of colleagues from across the firm.
  • Achievement oriented โ€“ enjoys taking on challenges while being proactive.
  • Capable โ€“ shows initiative and can be trusted to perform assigned tasks and duties in a deadline-driven environment.
  • Team member who maintains the willingness and mentality to get the work completed when needed. Willing and able to work overtime when required. Adaptable and flexible.

Knowledge, Skills & Abilities Required:

  • Proven experience as a Legal Assistant, preferably within Litigation.
  • Familiar/proficient with Microsoft Office (Excel, Word, Outlook)
  • Exceptional written and oral communication skills.
  • Excellent interpersonal skills, with focus on rapport-building and listening.
  • Ability to collaborate with paralegals, attorneys and other legal assistants throughout the Firm to ensure best practices are applied across the organization.

Job Type: Full-time in-office. Normal work week 37.5 hours. Work additional or irregular hours to perform essential duties as required.

PHYSICAL REQUIREMENTS:

This position requires sitting for the majority of the workday. May lift up to 5 โ€“ 10 lbs.
