Position Overview

As the Executive Assistant, you will provide high-trust administrative support to senior leaders and their teams, with primary responsibility for the Chief Human Resources Officer (CHRO) and HR organization, and additional support for the Chief Legal Officer (CLO) and Chief Financial Officer (CFO). This role creates leverage through exceptional organization, proactive coordination, thoughtful communication, and dependable follow-through. 

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable operating in a fast-paced public company environment. This position requires strong coordination skills, sound judgment, professionalism, and the ability to manage multiple priorities while handling confidential information with discretion.  

In-Office: Based full-time at CELSIUS Headquarters in Boca Raton, FL

People Management Responsibilities: No

Role Type: Full-Time

 Key Responsibilities
  • Manage complex, shifting calendars for the CHRO, CLO, and CFO; prioritize requests, resolve conflicts, and protect time for critical work. 
  • Coordinate leadership meetings, recurring operating rhythms, off-sites, and special projects, including agendas, materials, logistics, and action tracking. 
  • Coordinate domestic and international travel, itineraries, accommodations, expense documentation, and related logistics as needed. 
  • Schedule a high volume of internal and external meetings, balancing competing priorities, time zones, participants, and last-minute changes while protecting executive time. 
  • Own meeting logistics end to end, including invitations, rooms or virtual links, agendas, materials, catering, technology, visitor coordination, and day-of details. 
  • Prepare, submit, and track accurate expense reports and supporting documentation in accordance with company policies. 
  • Triage and prioritize a high volume of requests with sound judgment, clear communication, and consistent follow-through; escalate issues appropriately when priorities conflict 
  • Coordinate the shipment, handling, and inventory of product samples, marketing materials, and branded merchandise for conferences and meetings. 
  • Represent Celsius Holdings, Inc. professionally during events and external engagements. 
  • Support assigned ad hoc projects related to executive operations.  

Requirements

  • Experience: 3-5+ years of experience supporting senior executives, executive teams, or leaders in a complex, fast-paced organization. 
  • Education: Bachelor's degree in Finance, Marketing, Communications, Business Administration, or a related field. 
  • Experience supporting a public company or financial services environment is preferred. 
  • Exceptional organizational and project-management skills. 
  • Strong written and verbal communication skills, including the ability to produce polished, concise, and audience-appropriate materials.  
  • High attention to detail and the ability to manage multiple priorities simultaneously. 
  • Professional demeanor and strong interpersonal skills. 
  • Exceptional organization, attention to detail, time management, and judgment in handling confidential information. 
  • Ability and willingness to travel domestically up to 20% as business needs require. 
  • Ability to work full-time in the Boca Raton, Florida office. 
  • Proficiency with Microsoft Office suite and Monday.com, with comfort learning new systems.
