Executive Assistant to the Chief Financial Officer (CFO)
The Executive Assistant to the Chief Financial Officer (CFO) provides high-level, confidential administrative and operational support to the CFO. This role is responsible for a broad range of executive support functions, including calendar and meeting management, financial reporting coordination, project tracking, executive communications, and cross-functional administrative support. The Executive Assistant serves as a trusted partner to the CFO, handling highly confidential information with discretion, exercising sound judgment, and independently managing delegated responsibilities and special projects.

What We're Looking For:
We are currently looking for an Executive Assistant to work onsite at our San Diego Corporate Office.
This is a full-time position with full benefits. Pay range:$34-$40/hr
Key Responsibilities:
Responsibilities include, but are not limited to, the following:
  • Provide executive-level administrative support to the CFO, including managing priorities, coordinating workflow, and supporting strategic initiatives.
  • Manage complex calendars, schedule meetings, coordinate travel arrangements, and prepare detailed itineraries.
  • Prepare meeting agendas, presentation materials, reports, and executive correspondence for internal and external stakeholders.
  • Coordinate monthly, quarterly, and annual financial reporting activities, ensuring deadlines and deliverables are met.
  • Assist in the preparation, organization, and distribution of Board, Executive Team, and Finance Committee materials.
  • Handle highly sensitive and confidential financial, business, and personnel information with the highest level of discretion.
  • Track department budgets, process invoices and expense reports, and coordinate approvals in accordance with company policies.
  • Maintain organized financial records, executive files, and department documentation.
  • Support annual budgeting, forecasting, audits, and other finance initiatives through administrative coordination and project management.
  • Collaborate with Accounting, Operations, Human Resources, Development, and other departments to facilitate communication and ensure timely completion of cross-functional projects.
  • Monitor action items, follow up on deliverables, and provide status updates on key initiatives and special projects.
  • Coordinate meetings with auditors, banking partners, investors, consultants, and other external stakeholders as needed.
  • Develop, maintain, and improve administrative processes and standard operating procedures that enhance efficiency within the Finance department.
  • Prepare reports, analyze data, and compile information to support executive decision-making.
  • Perform additional duties and special projects as assigned.

Knowledge, Skills and Abilities:
  • Bachelor's degree strongly preferred
  • Must have 3-5+ years of experience as an executive assistant
  • Preferred 5 yrs experience within the real estate industry
  • Expert user in Microsoft Office (Outlook, Word, Excel Zoom, Skype and PowerPoint)
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including senior staff, associates, investors, clients and external partners/vendors
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • High degree of emotional maturity, focus, and professionalism
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
