Job description

RVNAhealth is are seeking an experienced Executive Assistant & Project Manager to serve as a trusted strategic partner to our President & CEO and Executive Leadership Team.

This highly visible role combines executive-level administrative support with project management, Board governance, contract administration, and organizational planning. You'll play a key role in advancing strategic initiatives, coordinating executive operations, and ensuring the successful execution of leadership priorities across the organization.

What You'll DoExecutive Leadership Support
  • Provide executive-level support to the President & CEO and Executive Leadership Team.
  • Manage complex calendars, meetings, travel, executive correspondence, presentations, and briefing materials.
  • Coordinate leadership meetings, Town Halls, retreats, community events, and executive engagements.
  • Prepare professional reports, presentations, agendas, and communications while maintaining the highest level of confidentiality.
Board Governance
  • Coordinate all Board of Directors and committee meetings, including agendas, materials, minutes, and follow-up.
  • Maintain Board records, governance documents, annual calendars, and the Board SharePoint portal.
  • Support Board orientation, retreats, and governance activities.
Project & Strategic Initiative Management
  • Lead coordination of the organization's Annual Business Plan and annual goal-setting process.
  • Manage organization-wide strategic initiatives, executive projects, and cross-functional operational improvements.
  • Develop project timelines, monitor milestones, track deliverables, and provide executive reporting.
  • Support accreditation activities, regulatory readiness, quality improvement initiatives, technology implementations, and organizational change efforts.
Contract & Executive Operations
  • Serve as the administrator for agency-wide contracts, maintaining electronic records, tracking renewals, and coordinating contract execution.
  • Coordinate Executive Leadership Team meetings, executive records, organizational documentation, and administrative processes.
  • Support fundraising activities, executive onboarding, community engagement, and special organizational events.
Regulatory & Technology Support
  • Assist leadership with accreditation, licensing, regulatory surveys, credentialing activities, and required organizational filings.
  • Create reports, dashboards, presentations, and executive communications using Microsoft Office and SharePoint.
  • Leverage technology and automation to improve workflow efficiency and support virtual collaboration.
What You'll Bring
  • Bachelor's degree preferred or an equivalent combination of education and experience.
  • Five or more years of progressively responsible executive support experience, preferably in healthcare, nonprofit, or another regulated industry.
  • Demonstrated experience managing projects involving multiple stakeholders and competing priorities.
  • Experience supporting senior executives and a Board of Directors or governing body.
  • Strong organizational, project management, and time management skills with exceptional attention to detail.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Strong technology aptitude with the ability to quickly learn new software and productivity tools.
  • Experience with contract administration, document management, or business operations preferred.
  • Familiarity with healthcare accreditation, regulatory compliance, nonprofit governance, and credentialing processes is highly desirable.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to exercise sound judgment, maintain confidentiality, and build effective relationships across all levels of the organization.
