VoiceOver Speech Pathology Practice

At VoiceOver, we provide voice professional voice coaching as well as traditional voice therapy. Our mission is to create a supportive and empowering environment where every person feels heard, respected, and encouraged. We are a growing practice seeking a client access coordinator. If you are bright, independent, organized and process- oriented we want to meet you!

Position Overview

We are seeking a client- access coordinator to be the welcoming face and organizational backbone of our clinic. This role combines client-facing support with behind-the-scenes coordination, ensuring our clients have a smooth, supportive experience from intake through their program.

Key Responsibilities

  • Front Desk Management
  • Greet clients warmly and ensure a welcoming, professional environment.
  • Answer incoming calls, manage voicemails, and process faxes.
  • Provide empathetic, encouraging support to patients in all stages of therapy.
  • Patient Intake & Scheduling
  • Process incoming referrals and initiate patient intake.
  • Collect and verify insurance information.
  • Coordinate with billing and insurance companies to secure authorizations for evaluations and therapy sessions.
  • Track insurance approvals and manage follow-up scheduling.
  • Administrative Coordination
  • Maintain accurate scheduling records.
  • Communicate with clinical and billing teams to ensure smooth operations.
  • Adapt workflows and priorities as practice needs evolve.
  • A requirement of this position is the ability to use VoiceOver’s client-facing phone register: clear, resonant, unhurried, polished, and appropriate for high-touch client interactions. We provide training and feedback for this standard.

  • Strong organizational skills with the ability to manage multiple tasks at once.
  • Excellent communication and interpersonal skills—able to bring joyful energy to client interactions while maintaining professionalism and empathy.
  • Our business is growing and our needs can require rapid adjustment in tasks and strategy - being able to adjust workflows and prioritization as needed by management is required.
  • Tech-savvy with the ability to learn and use scheduling and medical office software.
